Your ResponsibilitiesAre you an accurate and well-structured professional with a passion for service within a technical environment? As a Backoffice Service Coordinator, you support the daily operations of the service department. You ensure that administrative processes run smoothly and act as a key link between Planning, Technicians, After Sales, and Customer Support.
Location: Koog aan de Zaan, The Netherlands
Organizational classification: The position is part of the Service Department, and you report directly to the Service Manager.
Team size: You will work together with a team of 9 colleagues. The team consists of After Sales, Backoffice, Customer Support, and Field Service.
International connections: Due to the global structure of our group, regular coordination takes place with international branches, particularly with Emmerich. Project work is often carried out in intercultural teams.
Your Tasks:
- Checking and processing service invoices.
- Processing and verifying technicians’ time registrations.
- Keeping the planning system up to date and supporting the administrative preparation of planning.
- Recording, updating, and verifying customer data in the CRM system (including GDPR compliance).
- Coordinating administrative customer communication and documentation (no technical advice).
- Logging complaints and follow‑up actions in the CRM system.
- Coordinating with reception regarding travel arrangements for technicians (not booking them yourself).
- Preparing reports, overviews, and KPIs for the service department.
- Maintaining certifications and required documentation of technicians (if applicable).
- MBO level 4 education in Administration, Office, Logistics, or a comparable field.
- At least 2 years of relevant work experience in a service, technical, or back‑office environment.
- Experience with Microsoft Office, ERP systems (Ridder is a plus), and CRM systems.
- Excellent command of Dutch and English, both spoken and written.
- Accurate, stress‑resistant, customer‑oriented, and able to prioritize tasks.
- Experience in a field service environment is a strong advantage.
