Your day to day:
Assist in planning, organizing, and executing various meetings and events.
Help maintain relationships with clients and following up in current/past business.
Attend regular team meetings to discuss ongoing and upcoming events, providing updates on current business and any challenges encountered.
Invoicing and post-event evaluations to ensure client satisfaction.
Collaborate with various departments, including banqueting and front desk to guarantee successful event execution with BEO creations.
Stay updated on industry trends and best practices in event management.
Participate in brainstorming sessions to develop innovative ideas for events and promotions.
Collaborate with team members to analyze event feedback, helping to identify areas for improvement in service delivery.
Assist in the preparation of meeting agendas and take detailed minutes, ensuring all action items are documented and followed up on in a timely manner.
Prepares letters of confirmation of individual bookings.
Communicates reservation's information to the front desk.
Processes cancellations and modifications and promptly relays this information to the front desk.
Understands the hotel's policy on guaranteed reservations and no-shows.
Processes advance deposits on reservations.
Tracks future room availabilities based on reservations.
Helps develop room revenue and occupancy forecasts.
Assists in preregistration activities when appropriate.
Communication with the guests via email and phone on a timely manner.
Handles daily correspondence. Respond to inquiries and make reservations as needed.
Ensuring that the systems have timely, complete and reliable information.
Ensure that all data are carefully and correctly entered in the system.
Collect and track commercial information.
Provide information to the organization; providing various (ad-hoc) reports, answering questions, etc.
What we need from you:
Excellent communication skills in English and preferably also in Dutch. Another language is always a plus.
You have a positive, can-do attitude and enjoy working with people
Good communication and organizational skills
Experience with Microsoft Office (Word, Excel, PowerPoint); experience with Opera is a plus
Numerical insight and analytical skills
Able to prioritize
Well-groomed appearance
