Loft Studios is a boutique studio complex in West London, providing 6 fully serviced dry-hire studio spaces, with in-house equipment hire and catering, facilitating high-end photographic and film shoots.
We are seeking a highly organised and motivated individual to work alongside our studio team. You will be based mainly at the reception desk, and when required in the adjacent main studio office.
The Studio Co-Ordinator role is an exciting opportunity for someone to step into an active role within a busy studio management team. Your role will be a dynamic mix of supporting the booking team with studio hire enquiries, co-ordinating clients upon arrival and departure from the building, administrative support to the studio team, and supporting the floor managers with organisation of Studio Assistants and stock.
Front of House / Client facing:
- Meet, greet and sign in clients on arrival and direct them to the correct studio
- Make sure clients park correctly with the help of studio assistants and the floor manager
- Deal with client requests either face to face or by internal telephone communication
- Radio through client requests to studio assistants, rental or studio manager
- Answer external studio and reception calls and take messages when required
- Receive and book deliveries and couriers
- Sign in and out all packages and store them safely
- Aid studio team with ordering, stock checking & ad hoc admin
- Keep track of client packages. Chase for collections.
- Booking couriers
Bookings / Administrative Support:
- Assist the studio team with general admin tasks
- Answer telephone calls and transfer to the correct department
- Save call sheets to drop box
- Create daily client sign in/out sheet
- Write up the daily production white board
- Ensure all production sheets are updated, completed by studio assistants and returned to
- producer/booker.
- Update catering menus and print catering labels
- Order studio and office items
- Create purchase orders
- Track orders/deliveries and file delivery notes and invoices correctly
- Social media image research, file in drop box and post to SM platforms
- Update contact lists
- General upkeep of the office and studio store room
- Skills:
- Strong administrative and time management skills, as well as excellent organisational and communication abilities
- Confident with Excel, Microsoft Office, Google Drive and Macs.
- Excellent communication and client facing skills
- Highly motivated, confident and able to work independently
- Be natural at taking initiative and creative problem solving
- Able to remain calm and professional in pressured situations while maintaining a positive and proactive attitude
- A team player who is eager to learn, develop and can grasp new information quickly
Terms of employment:
- Salary £32K PA
- Hours - 40 per week, Monday to Friday. Some overtime expected when required.
- Holiday – 28 days per year including public holiday
- Full time contract
