We are seeking a highly organised and proactive Contract Support professional to join a busy facilities management team supporting a large and complex multi-site environment.
This is an excellent opportunity for someone who enjoys working in a fast-paced setting, building strong relationships with stakeholders, and playing a key role in ensuring the smooth delivery of maintenance and operational services. You'll be at the heart of the contract, supporting engineers, contractors, and management teams while helping to drive service excellence and compliance.
Key Responsibilities
- Provide day-to-day administrative and operational support to a busy facilities management contract.
- Manage reactive and planned maintenance requests through CAFM/CMMS systems, ensuring work orders are raised, tracked, and completed within agreed service levels.
- Coordinate engineers, subcontractors, and site teams to ensure maintenance activities are delivered efficiently and on schedule.
- Process purchase orders, invoices, quotations, and supplier documentation accurately and in a timely manner.
- Maintain contract records, compliance documentation, and asset information to ensure audit readiness.
- Produce regular reports on contract performance, KPIs, work order status, and service delivery metrics.
- Support statutory compliance activities, including planned preventative maintenance (PPM) scheduling, audits, and inspections.
- Act as a key point of contact for client enquiries, service requests, and contractor coordination.
- Assist with planning maintenance works to minimise disruption to site operations.
- Monitor contract performance and contribute to continuous improvement initiatives that enhance service delivery and operational efficiency.
- Ensure all documentation is maintained in line with company procedures, health and safety requirements, and contractual obligations.
About You
- Previous experience in a Contract Support, Facilities Coordinator, Helpdesk, or Facilities Administration role.
- Experience using CAFM/CMMS systems.
- Strong organisational and communication skills.
- Proficient in Microsoft Office, particularly Excel.
- Able to manage multiple priorities and work effectively in a fast-paced environment.
- A proactive and customer-focused approach with excellent attention to detail.
