The Role
We are looking for an exceptional Executive Assistant to provide outstanding 1:1 support to one of the organisation’s Co-Founders.
His interests span business, philanthropy, sport and international affairs, and his year is built around extensive international travel and a demanding calendar of meetings, events and commitments.
This is a London-based role. You will be the fixed point that keeps everything running while he is on the move. You will plan complex international travel end to end, manage a demanding diary across multiple time zones, deliver events ranging from intimate dinners to larger hosted occasions, and ensure he is briefed, prepared and fully supported wherever he is.
You will work closely with the Co-Founder’s Family PA and the Executive Assistant supporting the other Co-Founder, and will sit at the heart of the wider leadership team.
Key Responsibilities
Travel
- Plan and manage frequent international travel from end to end, including commercial flights, private aviation, hotels, ground transport, visas and multi-city itineraries.
- Build contingency into every trip and resolve disruption quickly and calmly, often across multiple time zones.
- Prepare clear, comprehensive itineraries and logistics packs, keeping them updated as plans change.
- Anticipate potential issues before they arise and ensure every journey runs as smoothly as possible.
Events
- Plan and deliver events ranging from private dinners with senior guests to larger hosted and philanthropic occasions.
- Own every detail, including venues, guest lists, invitations, seating plans, suppliers, running orders and follow-up.
- Coordinate attendance at external events, conferences, speaking engagements and other commitments.
- Ensure all events are meticulously planned and executed to a high standard.
Diary & Communications
- Take sole ownership of a complex, fast-moving diary spanning business, philanthropic and personal commitments.
- Manage the diary remotely while he travels, protecting his time and adapting swiftly to short-notice changes.
- Manage his inbox proactively: identify urgent matters, draft responses, file and follow up on actions, and filter out unnecessary correspondence.
- Act as a trusted first point of contact for a senior network of board members, investors, partners and high-profile individuals.
- Draft professional correspondence on his behalf, exercising excellent judgement and absolute discretion.
- Maintain a clear overview of priorities, commitments and outstanding actions.
Briefings & Documents
- Prepare concise, high-quality briefing notes ahead of trips, meetings and events, including relevant background, key individuals and objectives.
- Create and maintain documents and presentations, including board packs and presentations in PowerPoint.
- Track actions and follow-ups, ensuring commitments are progressed and completed.
- Research individuals, organisations, events and topics as required to ensure he is fully prepared.
Personal & Household Support
- Work closely with the Family PA to coordinate personal and family logistics.
- Handle ad hoc tasks of every size with a genuine “no task too small” attitude.
- Provide discreet, practical support wherever required.
About You
Essential
- 5+ years’ experience supporting a senior executive, founder or principal, ideally including HNWI or family-office experience.
- Proven experience managing complex international travel, including multi-city itineraries and private aviation.
- Hands-on experience planning and delivering high-profile events.
- Calm, unflappable and resourceful, with the ability to respond effectively when plans change at short notice.
- Flexibility to work outside normal hours when required, particularly when supporting international travel across multiple time zones.
- Excellent written and spoken English, with the confidence and judgement to draft correspondence on behalf of a senior principal.
- Absolute discretion when handling sensitive business and personal matters.
- Exceptional organisation and attention to detail, with the ability to manage multiple priorities and moving parts simultaneously.
- Strong Microsoft Outlook, Word, PowerPoint and SharePoint skills.
Desirable
- Background in events, hospitality or a similarly service-led environment.
- Commercial awareness and an interest in entrepreneurship, sport, philanthropy or international affairs.
- Experience working in a start-up, entrepreneurial or fast-growth environment.
