Job Purpose The Facilities Co-ordinator & Preventive Officer is responsible for ensuring that the Premises and services provided meet the business's needs, create a safe and secure environment for employees, allowing them to focus on their core activities. To oversee maintenance, manage relationships with suppliers and contractors, and ensure adherence to health and safety (H&S) guidelines. The role will include but is not limited to: Facilities Co-ordinator: Implementing the planned preventative maintenance schedule, including maintaining records and all necessary certifications. Provide effective support to the Facilities and Health & Safety Manager and contractors when required. Responsible for the use of the Facilities Jira ticket portal including assigning, actioning, and closing tickets. Compliant with Warehouse Access control through issuing the correct access for security cards and ensure all visitors are checked in in a timely manner with the relevant stakeholder informed, guaranteeing visitors’ badge & PPE are issued. Support with the onboarding and leavers process for all employees through providing H&S induction and access rights to the Warehouse. Order and maintain stock in relation to the facilities management service provision e.g. Printers, copiers, coffee machines, cleaning services etc. Working with key stakeholders through purchasing tasks to facilitate the business needs. Review invoices for approval from the Facilities and Health & Safety Manager. Carry out projects as requested by the Facilities and Health & Safety Manager Updating the information on the noticeboards, including but not limited to H&S, benefits and recruitment information. Health and Safety: Carry out weekly premises audits to ensure the building maintenance is undertaken in a timely manner, with effective and accurate recording of data and escalating any concerns to the Facilities and Health & Safety Manager. Ensure all contractors attending site have been provided with the appropriate health and safety paperwork before admittance to the premises, issuing contractor lanyards with the required access levels. Establish a culture where following Lifeplus H&S guidelines comes first, both for your own safety and the safety of those around you through the implementation of the RI&E Understand and adhere to all Lifeplus’ Health & Safety procedures through eLearning, training and personal handbook. Facilitating in the DSE management process for all employees to ensure compliance with the Working Conditions Act Responsible for recruitment, training and ongoing engagement of First Aiders and Fire Wardens including regular ‘dry emergency testing’ Preventive officer: Ensuring the Risk Assessments are current, and the plan of approach section is implemented. Collaborating and providing advice with HR on the medical aspects of a safe work environment to assess and address any necessary measures. Facilitate regular reviews and updates of relevant risk assessments to ensure they are being carried out along with documentation of essential Standard Operating Procedures (SOPs) and training materials. Verifying that the induction training for new employees remains current and is appropriately documented. Maintaining summary of the distribution of Personal Protective Equipment (PPE). Monitoring near misses and incident reports on a shared platform, providing advice or implementing necessary measures as required to be H&S compliant. Participating in all monthly Health and Safety meetings. Conducting the monthly Prevention Officer audit, including but not limited to; fire-fighting equipment inspections, emergency escape route checks and first aid provision. Candidate Profile: Excellent written and oral communication skills in Dutch and English with the ability to convey complex messages to key stakeholders. Ability to multi-task and prioritise workloads with a keen eye for detail and be able to demonstrate a high level of accuracy. 3 years’ experience or qualification in health and safety compliance in a similar enviroment. Excellent people skills – being able to deal with internal and external stakeholders across the business at all levels. Zorgen dat het pand en de faciliteiten voldoen aan de bedrijfsbehoeften, een veilige werkomgeving creëren en onderhoud en leveranciersbeheer coördineren.
De functie kun je dus verdelen in 3 delen:
Facilities Coördinator:
- Uitvoeren van preventief onderhoud en bijhouden van records.
- Beheren van Jira-tickets en ondersteunen van Facility & H&S Manager.
- Toegang en onboarding van medewerkers en bezoekers regelen.
- Voorraadbeheer van facilitaire middelen (printers, koffiemachines, schoonmaak).

Gezondheid & Veiligheid (H&S):
- Wekelijkse audits uitvoeren en H&S-richtlijnen waarborgen.
- Toezien op aannemers en bezoekers volgens veiligheidsprocedures.
- Beheren van EHBO’ers en brandwachten, inclusief trainingen en noodtesten.

Preventive Officer:
- Risicoanalyses actueel houden en plan van aanpak uitvoeren.
- Adviseren over veilige werkomgeving en PBM-distributie beheren.
- Incidenten en bijna-ongevallen monitoren en maatregelen doorvoeren.
- Maandelijkse audits van brandveiligheid, noodroutes en EHBO uitvoeren.

Wie ben je?

• Uitstekende schriftelijke en mondelinge communicatieve vaardigheden in het Nederlands en Engels, met het vermogen om complexe boodschappen duidelijk over te brengen aan belangrijke stakeholders.
• Vermogen om meerdere taken tegelijk uit te voeren en prioriteiten te stellen, met oog voor detail en een hoog niveau van nauwkeurigheid.
• 3 jaar ervaring of een relevante opleiding op het gebied van gezondheid en veiligheidsvoorschriften in een vergelijkbare omgeving.
• Uitstekende sociale vaardigheden – in staat om op alle niveaus binnen en buiten de organisatie effectief met stakeholders om te gaan.
• Uitstekende IT-vaardigheden, met name in Microsoft Office-producten.
