Role Description
This is a blended coordination and hands-on warehouse role designed to remove day-to-day operational pressure from the Director while strengthening warehouse standards and delivery reliability.
The role combines logistics coordination, job preparation and planning with practical warehouse responsibilities including loading vans, stock control, PAT testing and maintaining safety standards.
It is suited to someone practical, organised and comfortable moving between desk-based coordination and physical work.
Key Responsibilities
Operational Coordination
- Coordinate vans, couriers and transport for all jobs
- Confirm site access times, loading details and delivery windows
- Prepare and distribute job packs to warehouse and crew
- Maintain the master planning calendar
- Support weekly planning meetings
- Track quotes issued and follow-up dates
- Maintain CRM and job documentation accuracy
Warehouse Operations
- Load and unload vans for installations and dry hires
- Pick and prepare stock against job sheets
- Oversee returns process and ensure equipment is checked back in correctly
- Identify and report damaged or missing items
- Maintain organised warehouse layout and storage systems
Warehouse Standards & Compliance
- Conduct and record PAT testing as required
- Maintain equipment testing logs and safety records
- Ensure safe working practices are followed in the warehouse
- Oversee basic vehicle checks (oil, water, cleanliness, readiness)
- Coordinate MOTs, servicing and fleet admin
Freelancer & Crew Support
- Maintain crew availability lists and issue job briefs
- Support booking and confirmation of freelance crew
- Assist with crew welfare planning (meals, timings, logistics)
Systems & Process Support
- Implement and maintain job checklists
- Support development of simple SOPs for warehouse and logistics
- Flag operational risks or bottlenecks early
- Provide weekly operational summary updates to the Director
Person Specification
Essential
- Highly organised and detail-oriented
- Comfortable with physical/manual warehouse work
- Confident coordinating multiple moving parts
- Calm under pressure during busy seasonal periods
- Strong communication skills
- Basic IT proficiency (spreadsheets, shared drives, systems)
Desirable
- Experience in events, production, logistics or hire
- Experience working in a warehouse environment
- PAT testing qualification (or willingness to obtain)
- Forklift licence (advantageous but not essential)
- Understanding of health and safety procedures
Salary Range
£34,000 – £38,000 depending on experience.
