Merchandising Admin Assistant (MAA)
Role Overview
As a Merchandising Admin Assistant (MAA), you will play a key role in supporting the merchandising team to ensure the right products are available in the right place, at the right time. Working within a small, collaborative team, you will manage a varied workload in a fast-paced retail environment, providing analytical, administrative and operational support across the merchandising function.
You will assist with stock planning, allocations, reporting, pricing updates and product data maintenance, helping the team make informed commercial decisions while ensuring accuracy across systems and processes.
Key Responsibilities
Planning
- Support the merchandising team with stock planning, intake, commitment and stock flow.
- Assist with planning and managing stock allocations to stores to maximise sales opportunities.
- Help ensure stock is distributed effectively across the retail estate.
Analysis
- Monitor stock levels, sales performance and purchasing activity.
- Produce regular reports and analyse data to identify trends and highlight opportunities or risks.
- Support the merchandising team with ad hoc analysis as required.
Trading & Operations
- Assist with allocating stock for new season launches and amend allocations throughout the season based on performance.
- Manage price lists, ensuring recommended retail prices (RRPs), promotions and markdowns are maintained accurately.
- Liaise with external partners, including Next, to ensure pricing changes are implemented accurately and on time.
- Maintain merchandising data and product information, ensuring all systems remain accurate and up to date.
- Support preparation for trade meetings, range reviews and seasonal planning activities.
Administration
- Provide day-to-day administrative support to Merchandisers and Buyers.
- Update internal systems with product, pricing and promotional information.
- Prepare reports, spreadsheets and documentation to support trading decisions.
- Respond to merchandising queries and provide administrative support across the department.
Communication
- Keep internal teams informed of delivery schedule changes, product updates and other key information.
- Build effective working relationships with Merchandisers, Buyers and external stakeholders to ensure smooth communication and collaboration.
Skills & Experience
- Strong Excel skills, including the ability to manipulate and analyse data.
- Excellent numerical and analytical ability.
- Strong attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Ability to prioritise workload and manage multiple tasks effectively.
- Proactive, organised and able to work independently as well as part of a team.
- Comfortable working in a fast-paced, changing retail environment.
- Previous experience as a Merchandising Admin Assistant (MAA) or within a fashion retail business.
- Experience working with merchandising systems or retail data.
- Understanding of stock management, allocations and retail trading principles.
