Office / Warehouse Administrator – Sales Support
About the Role
We are looking for an organised, proactive Office / Warehouse Administrator with Sales Support responsibilities to join our team.
This is a varied role combining day-to-day office administration, warehouse coordination and support for the sales team.
The successful candidate will be comfortable working across different areas of the business, keeping records accurate, communicating with colleagues ,customers and suppliers, and helping ensure orders are processed and delivered efficiently.
Key Responsibilities
Office Administration
- Manage general office administration and maintain accurate records and filing systems.
- Answer incoming calls and emails, dealing with enquiries professionally and efficiently.
- Process paperwork, invoices, purchase orders, delivery notes and other documentation.
- Maintain company databases, spreadsheets and internal systems.
- Assist with stock records and administrative reporting.
- Liaise with suppliers, customers, couriers and other external contacts.
- Support the wider team with general administrative tasks as required.
Warehouse Administration
- Coordinate the administrative side of incoming and outgoing goods.
- Prepare and process delivery notes, dispatch paperwork and stock documentation.
- Maintain accurate stock records and assist with regular stock checks.
- Liaise with warehouse staff to ensure orders are picked, packed and dispatched correctly.
- Monitor deliveries and follow up on any delays or discrepancies.
- Help maintain an organised and efficient warehouse operation.
- Ensure documentation and records are completed accurately and on time.
Sales Support
- Provide day-to-day administrative support to the sales team.
- Process customer orders accurately and efficiently.
- Prepare quotations, order confirmations and other sales documentation.
- Respond to customer enquiries and provide product, availability and order information where appropriate.
- Follow up on outstanding quotations and customer enquiries.
- Liaise with customers regarding order status, deliveries and general queries.
- Assist sales staff with product information, pricing, stock availability and order administration.
- Maintain accurate customer and sales records.
- Support the sales team with reports, spreadsheets and other administrative tasks.
Skills & Experience
Essential:
- Previous experience in an office administration, sales administration, warehouse administration or similarly demanding role.
- Strong organisational skills and excellent attention to detail.
- Good written and verbal communication skills.
- Confident using Microsoft Office, particularly Outlook, Word and Excel.
- Ability to manage multiple tasks and prioritise effectively.
- Professional and customer-focused approach.
- Ability to work independently as well as part of a team.
- Reliable, flexible and willing to take a hands-on approach when required.
Desirable:
- Experience working in a warehouse, distribution or stock environment.
- Previous sales support or customer service experience.
- Experience using stock control, order processing or CRM systems.
- Experience coordinating deliveries or working with couriers.
- Forklift or warehouse experience would be an advantage, but is not essential.
