We have an exciting opportunity for a Company Secretarial Assistant to join the MPA Group of Companies, which includes the Music Publishers Association (MPA), the Mechanical-Copyright Protection Society (MCPS) and Printed Music Licensing Limited (PMLL).
Reporting to the General Counsel, you will manage and coordinate board and committee meetings across the Group - preparing schedules, collating papers, taking minutes and tracking actions.

MCPS is the UK collection society that licenses mechanical (reproduction) copyrights on behalf of over 44,000 music publisher, songwriter and composer members.
About PMLL
Printed Music Licensing (PML)exists to operate collective licensing schemes on behalf of its members, permitting educational establishments and other users to copy and arrange printed musical works for use in education and other music settings.
Key Responsibilities
Board and Committee administration:
- Manage and coordinate the corporate calendars for the MPA Group of Companies (MPA, MCPS and PML) incorporating meeting and event schedules in liaison with the Chairs of each board committee and subsidiary and sister organisations.
- Coordinate meeting logistics, including venue or hybrid/virtual set-up, joining instructions, and guest, observer and attendance tracking, across MPA, MCPS and PMLL.
- Collate, version-control and distribute agendas and meeting papers in conjunction with the relevant Chair and MPA Group team member, ensuring materials are circulated within required notice periods for each entity. Take minutes for Board and Committee meetings, including but not limited to MPA Board, MCPS Board, PMLL Board, Popular Music Publishers Forum, Printed Music Publishers Committee, Policy and Public Affairs Group and Education and Training Group, in all cases drafting them promptly and succinctly including decisions, action points and distributing appropriately.
- Support the use of Microsoft Copilot for meeting transcription and draft minute generation and ensure appropriate consent and confidentiality protocols are followed when AI transcription tools are used for board or committee meetings, in line with the MPA Group's data protection and retention policies.
- Assist the CEO, Managing Directors (of PML and MPA) and relevant MPA team/board members with completion of action points.
- Assist with the recruitment and induction of directors and committee members.
Governance
- Ensure all relevant board governance procedures are adhered to.
- Coordinate each of the MPA Group companies’ annual Board elections in association with our external electoral providers (where applicable).
- Support the development and maintenance of governance policies, processes and procedures.
About you
Experience and Knowledge
- Experience in board and committee administration including meeting coordination, minute-taking, collating and distributing papers, tracking actions and managing information flow between boards, committees and senior stakeholders.
- Experience liaising with and supporting senior stakeholders including Board Directors, Chairs and external contacts.
- Desirable: familiarity with board election processes.
- Desirable: experience in the music industry, ideally music publishing or familiarity with inter-industry relations.

- Trustworthy, with a clear understanding of the importance of confidentiality.
- Communicates clearly and confidently at all levels, both verbally and in writing.

- Proficient in MS Office (Word, Excel, Outlook) and comfortable learning new systems.
- Desirable: experience with board portal software, e-signature tools and AI-assisted transcription tools.
