An exciting opportunity has arisen for a Hire Desk Administrator to join our fast-paced and dynamic Flexi Hire team as the company expands its national offering. It’s a customer focused role which requires resilience, personality and exceptional organisational skills. Working in a commercially driven and fast paced environment, the Hire Desk Administrator will be able to communicate effectively with customers, depots, sales, and suppliers keeping all decisions logged and auditable using their suite of IT skills.
The ideal candidate will be a confident and capable communicator, have at least five years’ experience using MS Office, CRM systems and ideally, some experience of administering within fast paced transport and logistics sector. If this sounds like you then we would love to hear from you!

NRG Riverside is the UK’s largest municipal and specialist fleet hire company, we provide specialist vehicles on short and long-term hire, a range of vehicle maintenance packages and we offer a large portfolio of high-quality used vehicles for sale. NRG Riverside has the skills, knowledge, and expertise to support all your operational needs. Established in 1996, we’ve supported our valued customers to rationalise and decarbonise their fleets, save money and improve efficiency by reducing ‘Vehicle Off Road’ (VOR) time.
Working under the Rental and Marketing Director and taking on leadership of the Flexi Hire team including the drivers; you will help shape the future success of NRG Riversides’ Flexi Hire department.
What candidate are we looking for?
* Experience from within a similar role such as Hire Desk Administrator, Customer Service Administrator, Hire Desk Coordinator, Sales Administrator, Customer Service Advisor
* Excellent customer service skills with the ability to confidently communicate at all levels
* Highly organised with good attention to detail
* Technically proficient with all MS Office systems including Excel, Outlook and Word
* GCSE or equivalent in Maths and English
* Customer Relationship Management (CRM) systems experience is advantageous
* Fleet/ Vehicle sales industry experience is advantageous
* Specialist vehicles/ Local authority procurement experience is advantageous
What will be your duties?
* As the Hire Desk Administrator you will build relationships with existing customers by delivering excellent customer experience handling inbound rental enquiries by phone and email.
* Create new relationships to generate new hires by proactively contacting prospects.
* Liaise with depots and customers to arrange hire deliveries and collections.
* Keep the CRM system live and up to date with hire activities, contact information and details.
* Organise the shared inbox and ensure emails are actioned and archived as necessary.
* Keep shared files and folders live and up to date with information. Communicate errors quickly and ensure utilisation across the company and ensure all customer insurance and Operators licenses are up to date.
* Communicate regularly to sales team about their customers.
* Compile and send all on hire information including compliance documents.
* Complete digital hire agreements and file signed responses
* Contact Depot /customers to chase paperwork
* Raise advanced PO’s, signing off related invoices once they come through.
* Chase for and administer POs for all hires.
* Arranging hire cars (When required by depots / HQ staff)
* Complete vehicle movement logs and input live hire information to operating system.
* Compile and distribute the Flexi Hire Summary for day/week
* Add / remove / update daily movements of vehicles passing through tolls, bridges and zones. A general assistance in the administrator of driver movements.
* Assist in planned and unplanned movements for compliance and or service.
* Compile reports as and when requested.
