We are looking for a special individual to work as a PA to the Engineering Director, if you are equally comfortable dealing at board level (taking minutes) as you are at shop floor level dealing with everyday human problems then this could be the role for you. Previous PA experience may be an advantage but more importantly we are looking or someone to fill this key role where you can best utilise your talents including strong attention to detail, discretion and common sense/intelligence to help the director in a fast-paced environment.
The full job spec is below, however whilst you could already have worked in a similar role, we can be open minded to look at a variety of backgrounds, for example you could be a Graduate (perhaps in law or similar) but haven’t yet found the right role which best utilise your skills and ability. Due to the business dealing with sensitive Engineering technology you will need to be happy to undergo security vetting and due to the security clearance requirements associated with the position, applicants must be UK nationals and able to satisfy all applicable clearance requirements.
Role Purpose:
To provide high-level administrative and business support to the General Manager, helping to manage workload, coordinate priorities and ensure key actions are progressed efficiently. The role acts as a central point of contact between the General Manager, employees, managers and other departments, supporting effective communication and the smooth running of day-to-day business activities.
Key Responsibilities
Executive Support:
• Provide direct day-to-day support to the General Manager, taking ownership of tasks and responsibilities to help manage workload and maximise available time.
• Manage and prioritise incoming requests on behalf of the General Manager, ensuring matters are dealt with efficiently and within agreed timescales.
• Resolve routine queries where appropriate and escalate matters requiring management input.
• Handle sensitive and confidential information with professionalism, discretion and attention to detail.
Meeting & Action Management:
• Plan, attend and support business meetings, preparing relevant information and supporting documentation.
• Take accurate and concise meeting minutes, recording agreed actions and assigning these to relevant managers and stakeholders.
• Maintain meeting action logs, monitoring progress against agreed deadlines and proactively following up outstanding actions to ensure completion.
• Provide the General Manager and other management with regular updates on outstanding actions, priorities and matters requiring attention.
Employee & Management Liaison:
• Act as a key point of contact for employee and personnel queries on behalf of the General Manager, resolving or escalating matters as appropriate.
• Liaise with employees, managers and other departments to support clear and timely communication between the General Manager and the wider business.
• Provide progress updates and communicate key matters through employee representative meetings where appropriate.
Internal Communications:
• Create and distribute quarterly business newsletters to employees, ensuring key company updates and information are communicated clearly.
• Support wider internal communications on behalf of the General Manager as required.
Business Coordination
• Coordinate with managers and departments to support the timely progression of business priorities and activities.
• Identify outstanding matters requiring escalation or General Manager input.
• Ensure key information and updates are readily available to support the General Manager.
• Maintain accurate records and documentation relating to meetings, actions and business activities.
Measures of Success:
• Effective support enables the General Manager to have more time available to focus on strategic and operational priorities.
• Actions arising from meetings are clearly recorded, monitored and progressed to completion.
• Information and communications are accurate, clear and timely.
• Employee and management queries are handled efficiently and escalated appropriately.
• Meeting records, action logs and business documentation are maintained to a consistently high standard.
