ABOUT THE ROLE

The Production Coordinator is responsible for coordinating and administering the day-to-day production process, ensuring that orders, materials, drawings, dimensions, production schedules and deliveries are accurately managed and communicated.

The role will act as a key link between Production, Project Managers, Accounts, Warehouse, suppliers and customers, ensuring that information is up to date and that production and delivery requirements are clearly communicated.

KEY RESPONSIBILITIES

* Create a weekly production list for the Production Director.

* Send the completed production plan to the Project Managers every Friday.

* Update order dates and production information on the relevant systems.

* Chase outstanding dimensions and information required to progress orders.

* Create SORs for new orders across multiple business units and external customer orders.

* Coordinate with Project Managers to ensure changes to orders, priorities and required dates are reflected in the production plan.

* Enter employee hours from timesheets onto the payroll spreadsheet and cross-check against EVOtime to ensure accuracy.

* Deal with and resolve routine payroll queries, escalating where required.

* Process expenses and repayment contracts as required.

* Order stock, consumables, uniforms and other items required by the business.

* Book incoming orders onto the relevant system once deliveries have been received.

* Check supplier order confirmations against the original orders to ensure accuracy.

* Check supplier invoices for accuracy before passing them to Accounts for processing.

* Create lists for Accounts detailing completed work and orders that need to be invoiced.

* Arrange deliveries, coordinate dispatch requirements and create delivery notes.

* Prepare and dispatch small customer orders using the APC courier portal, including parts, replacement doors and small wall shelves.

* Palletise smaller orders for dispatch, working with the Warehouse team where required.

* Create quotations for parts and replacement items.

* Coordinate the preparation and dispatch of replacement parts and other small customer orders.

* Record and coordinate warranty requirements as appropriate.

WHAT WE'RE LOOKING FOR

* The ability to work independently, take ownership of tasks and proactively chase outstanding information.

* Previous administration experience, working within a fast-paced environment.

* Experience of coordinating multiple tasks, orders and deadlines at the same time.

* Good working knowledge of Microsoft Excel and Microsoft Office.

* A good understanding of the importance of accuracy, deadlines and attention to detail.

* Good written and verbal communication skills, with the confidence to communicate with Project Managers, production staff, suppliers, customers and Accounts
