Executive Assistant

Job Description

In this role, you have the opportunity to

You will make decisions and you are held responsible for these decisions afterwards. You are able to think ahead and take actions to enable decision-making processes and set priorities.

You are responsible for

  • Handling complex mail and calendar management, conduct meeting preparations and detailed visa/travel arrangements;

  • Planning and organization (including logistics) of meetings, events, off-sites, market visits etc. You are also responsible for the year planning of the business events.

  • Providing administrative support for preparations for Strategic meetings, for budget and purchasing orders tracking, and for looking after expense reporting in Concur;

  • Performing entirely independently, delivering all secretarial tasks which involve a high level of responsibility and confidentiality; it also includes the tracking tasks and deadlines, both for your manager on for his/her reports.

  • Acting as a first point of contact for internal and external business relations;

  • Taking care of highly critical and confidential information;

  • Train and mentor (lower-level) assistants;

  • Interpret and communicate executive intent to employees;

  • Serves as a contact to employees or partners inside and outside the organization;

  • Conducts projects, especially involving budgets and preparations for management meetings.

  • Work closely with Communications Team and HR on Global Announcements

  • Responsible for social events to activate team feeling.

To succeed in this role, you should have the following skills and experience

  • Relevant education with a minimum of 5 to 7 years of work experience as an Executive / Management Assistant in a fast-paced, dynamic, international environment;

  • Excellent verbal and written communication skills in English (Dutch is a plus);

  • Pro-active and enthusiastic person, who is willing to take initiative, knows how to set priorities under high pressure;

  • Confident, Mature, Calm;

  • Problem solving – independently identify and resolve issues in a timely manner; call out when vital and look for solutions/improvement;

  • Has a natural assertive demeanor and strong communication, organization and planning skills; your skills in Outlook calendar and mail management are of outstanding importance;

  • Very flexible (adapting to fluctuating workload), able to multitask and work with (tight) deadlines;

  • Good listener, empathetic with the capacity to influence;

  • Both a team and independent worker, easily connecting to others and building a network;

  • Very discrete, structured, accurate and attention to details;

  • Good humor, trust-worthy, willingness to take accountability;

  • Full-time or close to full-time availability.
