Keep projects moving with a highly organised Project Support Officer who thrives on document control, stakeholder coordination, and business administration.

Our Client has a requirement for a Project Support Officer, who will be required to work on a contract basis in Faslane.

Role Purpose:

Support the integration of project interfaces within the business.
Ensure outputs adhere to established processes and operating procedures.
Provide administration, coordination and document control support across project activities.
Support governance, reporting, stakeholder engagement and information management activities.
Job Role Responsibilities:

Lead the interface with Document Controllers to manage the receipt and circulation of project documentation, ensuring required actions are completed to agreed times.
Maintain SharePoint and Teams sites, ensuring file plans, document control and naming conventions are followed in accordance with policy and kept up to date.
Manage team mailboxes, coordinating responses, distributing communications and supporting stakeholder engagement.
Coordinate governance meetings, ensuring documents are prepared and circulated within agreed timescales.
Produce actions and decisions records and ensure follow-up actions are tracked and progressed.
Support the development of project trackers, reporting dashboards, briefing presentations, process diagrams and organisational charts by obtaining relevant data.
Support the team with coordination of key activities and administrative requirements.
Establish and maintain effective working relationships with colleagues, project teams and key stakeholders.
Lead activities requiring engagement across wider business teams and stakeholders in support of project objectives.
Act as an interface with internal and external stakeholders, representing the team at meetings and working groups relating to document control activities.
Issue, request and collate information from stakeholders as required.
Provide progress reports and issue updates to relevant meetings and stakeholders.
Experience / Skills / Knowledge / Qualifications:

Competence appropriate to Executive Officer (EO) level.
Proficient in Microsoft 365 applications including Project, PowerPoint, SharePoint and Teams.
Strong document control, administration and coordination skills.
Experience supporting governance meetings and maintaining project documentation.
Ability to manage multiple stakeholders and priorities effectively.
Desirable:

Managing Successful Programmes (MSP) and/or Management of Portfolios experience.
Risk Analysis and Management experience.
