Stores Co-Ordinator

With more than 30 years’ experience and over 140 employees throughout the UK and Ireland, Mulmar is a leader in the supply and maintenance of some of the world’s finest espresso coffee machines in offices, high street coffee shops, restaurants, airports, hotels and food retailers.
We are now seeking to recruit a Stores Co-ordinator to support the day-to-day operation of Stores and help ensure stock, parts requirements and outstanding work are managed accurately and efficiently.
The role is intended to provide operational continuity during staff absence, annual leave and busy periods. This is a hands-on position and will involve picking, packing, dispatch, general stock handling and administrative support across the department.
As a Stores Co-ordinator, you will:
• Review and maintain Stores monitors, including awaiting parts, parts on order and outstanding customer orders, chasing suppliers and internal departments as necessary.
• Provide day-to-day operational cover within Stores during sickness, annual leave and periods of high workload, prioritising urgent requirements.
• Pick, pack and dispatch parts for customers, workshop engineers and field engineers.
• Allocate stock accurately to customer orders, workshop jobs and field engineers, ensuring all stock movements are correctly recorded.
• Work with suppliers, the Service Department and the Stores Manager to resolve shortages, delivery issues and urgent parts requirements.
• Identify parts from manuals, drawings and available technical information where required.
• Manage warranty returns from identification through to supplier return/credit or replacement, ensuring paperwork, parts and system records are complete and accurately tracked.
• Receive, process and progress external customer orders through to dispatch, ensuring customers are kept updated where required.
• Maintain accurate order and stock information on company systems so that outstanding work can be clearly tracked and handed over.
In order to be successful in this role:
Experience:
• Experience in a spare parts, stores, warehouse or similar operational environment.
• Experience processing customer orders and managing outstanding actions or order queues.
• Experience in an office administration or data input role.
• Experience handling warranty returns, supplier returns or similar parts-return processes would be advantageous.
• Experienced in the use of MS Office (Word, Outlook and Excel).
• Experience using stock, order processing or service management systems would be advantageous.
Person Specification:
• Computer literate, preferably with experience in MS Office including Email, Outlook, Word and Excel
• Able to work as part of a team and use own initiative to prioritise changing workloads
• Good attention to detail and excellent time management skills
• Excellent telephone manner and confident when dealing with customers and suppliers
• Prepared to work across both administrative and practical Stores duties, including picking and packing
• Confident managing outstanding work queues, warranty returns, customer orders and follow-up actions
• Able to communicate effectively with colleagues at all levels and liaise with internal departments and external contacts
