Purpose of the Role:
The Operations Administrator provides critical administrative and scheduling support to the Operations team, ensuring accurate job entry, engineer coordination, client updates and compliance. This role contributes to efficient operational delivery and high-quality customer service across the business.
Key Responsibilities:
· Ensure all jobs are scheduled and completed within KPIs
· Maintain accurate job data across systems
· Schedule engineers’ diaries efficiently
· Liaise with clients and social housing providers
· Update client portals with progress and completions
· Handle inbound and outbound calls
· Arrange permits and job documentation
Operational Duties:
· Answer telephone enquiries and direct appropriately
· Monitor engineer activity via tracking systems
· Enter and allocate jobs based on requirements
· Update schedules throughout the day
· Chase reports and escalate issues
· Prepare quotes and proposals
· Optimise scheduling efficiency
Health, Safety & Compliance:
· Maintain compliance documentation
· Support RAMS and permit processes
· Follow H&S and data handling procedures
· Report compliance issues
Customer Service:
· Provide real-time client updates
· Communicate professionally via phone and email
· Ensure SLA/KPI deadlines are met
· Build strong client relationships
Additional Duties & Responsibilities:
· Out-of-hours call handling required once trained (additional pay)
· Hours: 08:00–17:00 (1 day per week 07:00–16:00)
Experience & Skills:
· Strong administrative skills.
· Excellent communication and organisational skills.
· Ability to work in a fast-paced environment.
· Experience with job management systems is preferred.
Qualifications:
· GCSEs or equivalent.
· Admin/operations experience useful.
· Training in customer service or operations is desirable
