Private Client Secretary

Bury St Edmunds onsite

Are you an organised and proactive Secretary with strong administrative and client service skills Were looking for a Private Client Secretary to join a friendly and supportive legal team, providing high-quality secretarial and administrative support to lawyers within the Private Client department.

This is a fantastic opportunity for someone who enjoys working in a professional environment, delivering excellent client service, and ensuring the smooth day-to-day running of legal processes.

What Youll Be Responsible For:

Preparing legal documents including letters, forms, Wills, Lasting Powers of Attorney, and invoices, including audio transcription where required.

Maintaining accurate records and databases, including submissions to relevant online services and authorities.

Liaising with clients, beneficiaries, executors, the Probate Registry and other third parties in a professional and supportive manner.

Handling enquiries by phone and in person, arranging consultations, appointments, and call-backs where appropriate.

Managing key dates within the firms central diary and monitoring deadlines to ensure important matters are not missed.

File management including opening new files, conducting conflict checks, maintaining organised records, and closing files when matters conclude.

Ensuring all work is carried out in accordance with firm policies, procedures, and professional standards.

What Were Looking For:

Excellent communication skills with a clear, confident and professional manner.

Strong organisational skills with the ability to manage multiple tasks and prioritise effectively.

A professional and welcoming approach when dealing with clients and colleagues.

Ability to work both independently and as part of a team.

A proactive mindset with the ability to take initiative and solve problems.

Previous experience in a legal or professional services environment is desirable.

Knowledge of Private Client work or experience with audio typing/digital dictation would be beneficial.
