Key Responsibilities
- Provide a professional and welcoming experience for all visitors, contractors, and colleagues.
- Manage reception activities, visitor queries, taxi bookings, and access requests.
- Coordinate meeting room bookings, catering arrangements, room setups, and hospitality services.
- Conduct regular meeting room, workplace, and floor inspections to maintain workplace standards.
- Deliver building orientation tours for visitors and new joiners.
- Support workplace services, including locker management, desk allocations, and employee queries.
- Create and manage car parking permits and EV registration requests.
- Order and maintain office supplies, stationery, paper stock, archive boxes, and workplace consumables.
- Create visitor and contractor access accounts using workplace and security systems.
- Report and monitor maintenance and facilities-related issues.
- Assist with workplace communications, signage, notices, and information displays.
- Support workplace events, visitor passes, and administrative activities.
- Prepare daily, weekly, and monthly occupancy, workplace, and security reports.
- Provide support at the workplace helpdesk and complete ad hoc administrative duties as required.
Desired or Preferred Experience and Technical Skills
- 3-5 years' experience in reception, customer service, workplace experience, office administration, or hospitality.
- Experience working in a corporate, client-facing environment.
- Meeting room management and coordination experience.
- Strong communication and stakeholder engagement skills.
- Excellent organisational skills and attention to detail.
- Ability to manage multiple priorities in a fast-paced workplace.
- Proficiency in Microsoft Outlook and other Microsoft Office applications.
- Experience using visitor management, access control, or workplace systems is advantageous.

Working Pattern
- Monday to Friday.
- 40 hours per week.
- Weekly rotating shifts:
- 7:00 AM - 4:00 PM
- 7:30 AM - 4:30 PM
- 8:00 AM - 5:00 PM
- Fully onsite in Dyce, Aberdeenshire.
- Flexibility may be required based on business needs.
