Job Purpose
The Student Support Officer provides essential administrative and operational support to students, ensuring all queries are handled promptly, professionally and in line with institutional standards.
This role is primarily office based and includes managing email and telephone enquiries, checking registration and enrolment status, conducting ID verification, supporting timetable queries and resolving a range of student administrative issues.
You will work closely with Academic Services and wider campus teams to ensure a smooth and supportive student experience.
Key Responsibilities
Student Communication
• Respond promptly and professionally to student emails
• Handle incoming and outgoing student phone calls
• Provide accurate information regarding enrolment, registration and academic processes
• Ensure all communication is recorded, tracked and resolved appropriately
Registration and Enrolment Support
• Check student registration and re‑enrolment status
• Support students in completing enrolment within required deadlines
• Resolve registration issues in collaboration with partner universities when necessary
• Escalate complex enrolment cases to senior staff where required
ID Verification and Compliance
• Conduct student ID checks in line with institutional requirements
• Ensure documentation is verified, recorded and stored correctly
• Support compliance processes related to onboarding and right‑to‑study checks
Timetable and Academic Support
• Respond to timetable queries and direct students appropriately
• Work with timetabling and academic teams to resolve scheduling issues
• Provide guidance on class allocations and delivery arrangements
General Administrative Support
• Manage day‑to‑day student administrative queries
• Maintain accurate and up‑to‑date student records
• Support attendance monitoring processes when required
• Assist during peak periods such as enrolment, induction and assessment deadlines
Person Specification
Essential
• Experience in an administrative or student‑facing role
• Strong written and verbal communication skills
• Ability to manage high volumes of emails and calls
• Excellent organisational skills and attention to detail
• Ability to work under pressure and meet deadlines
• Confident using IT systems and Microsoft Office
• Fully flexible with working days and operational requirements
Desirable
• Experience within Higher Education or Further Education
• Familiarity with student record systems such as EBS or eVision
• Understanding of enrolment and compliance processes
