The Role - Who are we looking for?As we continue to grow, we are seeking a versatile and highly organised professional to fill the newly established role of Workplace Specialist. This role is a key on‑site ambassador responsible for the smooth, efficient and safe running of our NL facilities and the overall workplace experience. In this role, you will oversee everything from health and safety and building systems to catering, vendor management, service offerings and the first impression for everyone who enters our office.
This position is suited to an organised, proactive and experienced facilities professional who plays a central role in making Zelus an exceptional place to work, both physically and culturally. You will manage the traditional aspects of facilities management and operations, as well as activities and programs that support our team culture.
You will be a systems enthusiast who is willing to find solutions to challenges with a can‑do approach. You take pride in what you do and always deliver consistent results, whether it be doing day‑to‑day tasks or new projects that improve our ways of working.
You will play an integral role in building an inclusive and thriving culture by organising events and supporting initiatives to bring teams together.
You will report to the Senior People and Culture Manager and will work with several key stakeholders including other members of the Legal, People and Office Team and other employees throughout the business.
What am I going to be responsible for?- Manage the day‑to‑day operation of the NL office; perform regular walkthroughs to ensure the space is functional, safe, comfortable and well‑maintained.
- Act as the primary point of contact for employees, guests, clients and candidates on workplace‑related matters, ensuring a professional and welcoming environment.
- Own all on‑site workplace operations, ensuring high standards of service delivery.
- Lead relationships with onsite service providers and vendors – including cleaning, food and beverage, technical and systems maintenance, building management, packages and mail.
- Liaise with Nike’s Workplace Team and Nike’s Security as and when required to ensure continued access control for new joiners and existing employees to Nike’s facilities (gym/Hubs etc).
- Plan and coordinate workplace events and activities that support engagement, collaboration and team culture.
- Lead facilities projects and initiatives; embed and uphold company and team‑wide standards and processes at your site.
- Manage seating plans and overall space planning in line with business needs.
- Ensure emergency preparedness plans are current, communicated and actively maintained.
- Ensure that our teams and our space comply with all relevant health and safety regulations and building codes.
- Oversee access control and security‑related processes for the site.
- Set, manage and report on budget allocations for your site(s), ensuring cost‑effective operations.
- Support renovations, construction projects and space upgrades, ensuring alignment with brand, safety and functional requirements.
- Stock control of merchandise and other consumables (e.g. Fruit box/stationery); also ensuring samples are kept at an appropriate level and disposed of in accordance with client agreements.
- Contribute to and support cross‑functional projects as required.
- A hands‑on operator who delivers, takes ownership and is comfortable working independently.
- Knowledgeable in real estate, facilities, furniture, accounting and building systems.
- Prior experience in office or facilities coordination.
- Excellent organisational and communication skills.
- Fluency in spoken and written Dutch and English, required for on‑site coordination, safety, and employee communication.
