Overview
We are looking for a highly organized and reliable Administrator to support the day-to-day operations of Callie’s. Working closely with the Director and team, the Administrator plays a central role in financial administration, office organization, grant budgeting, and institutional processes. This position is key to ensuring the smooth functioning and long-term sustainability of Callie’s as a small, dynamic arts institution.
Key Responsibilities
Administration & Finance
- Preparatory bookkeeping and liaison with external accountants
- Process payroll and manage routine payments.
- Maintain clear financial records and ensure receipts and documentation are properly filed.
Grants & Budgets
- Create, oversee, and monitor public and private grant budgets in collaboration with the Director.
- Oversee grant application processes, including budget preparation, and documentation.
- Support grant reporting and maintain an overview of grant correspondence and deadlines.
Office & HR Administration
- Maintain contracts, employment records, and administrative HR documentation.
- Track vacation days, sick leave, and working hours for the team.
- Organize office systems, including shared drives, passwords, subscriptions, and office supplies.
Institutional Support
- Provide general administrative support across programs, events, and residencies.
- Support internal workflows and ensure administrative processes run smoothly.
Profile
- Several years of experience in administration, finance, or operations, ideally within a cultural or non-profit organization.
- Experience with pre-accounting, budgets, and grant administration.
- Strong organizational skills and high attention to detail.
- Ability to work independently while collaborating closely with a small team.
- Ideally, fluency in German and English.
- Previous experience in arts organisations or cultural institutions is welcome.
