Key Responsibilities
* Provide day-to-day administrative support to the Transport Department.
* Monitor and maintain accurate records for the company’s fleet of vans and other vehicles.
* Liaise with relevant internal departments and external garages/suppliers to arrange MOTs, servicing, repairs and vehicle maintenance.
* Monitor vehicle compliance and ensure all required documentation is up to date.
* Assist with the administration and processing of vehicle insurance claims, including gathering relevant information and liaising with insurers, drivers and other parties.
* MOT status, insurance information, servicing and repair history.
* Assist with maintaining records and documentation required for FORS compliance, including ensuring relevant fleet, driver, vehicle and operational records are kept up to date.
* Support the Transport Department with the preparation and maintenance of FORS documentation and records for audits and compliance checks.
* Update transport reports and records on a daily basis, ensuring information is accurate and readily available.
* Monitor outstanding vehicle-related issues and follow up with relevant departments or suppliers to ensure they are resolved promptly.
* Assist with the coordination of vehicle breakdowns, accidents, repairs and replacement vehicles where required.
* Communicate with drivers and relevant departments regarding vehicle issues, documentation and operational requirements.
* Ensure transport paperwork and records are properly filed and maintained.
* Support the Transport Manager with general administrative tasks and reporting.
* Prepare and distribute regular transport reports as required.
* Handle general enquiries relating to vehicles and transport administration.
* Ensure confidentiality and accuracy when handling company and employee information.
* Carry out any other reasonable administrative duties required to support the Transport Department.
Key Skills and Experience
* Previous administration experience, ideally within a transport, fleet, logistics or operational environment.
* Experience or understanding of FORS requirements and record keeping would be advantageous.
* Strong organisational and time-management skills.
* Excellent attention to detail and accuracy.
* Good communication skills, both written and verbal.
* Ability to liaise confidently with internal departments, drivers, garages, insurers and external suppliers.
* Good working knowledge of Microsoft Office, particularly Excel and Outlook.
* Ability to maintain accurate records and manage multiple deadlines.
* Ability to work independently while also supporting a wider team.
* A proactive approach to identifying and following up outstanding tasks
Salary description
£25000.00 - £32000.00 per year
