We are seeking a Commercial Operations Specialist with 3 years of relevant experience to manage the end-to-end order process, from confirmed quotation through to invoicing. This role is pivotal to supporting our market expansion in Germany, and fluent German language skills are therefore a must. You will be responsible for ensuring timely and accurate order execution, while maintaining consistent, clear communication with key customers and the internal sales team. We are looking for a highly detail-oriented, process-driven and customer-focused professional to join our team.
Key Responsibilities:
· Order Processing : Manage the full order lifecycle from confirmed quotation to order entry, fulfillment, delivery tracking, and invoicing.
· Quote-to-Cash Execution : Ensure commercial terms (pricing, discounts, payment terms) are correctly captured and processed in internal systems.
· Customer Communication : Serve as the main point of contact for key customers in the Netherlands and beyond—providing updates on order status, delivery timelines, delays, and billing.
· Sales Team Collaboration : Work closely with the sales team to relay updates on order progress, product availability, customer feedback, and any issues that may impact fulfillment or billing.
· System Management : Accurately input and manage order data in ERP/CRM systems (eg, SAP, Salesforce, Oracle), ensuring clean and timely data flow.
· Issue Resolution : Identify, investigate, and resolve order-related issues such as discrepancies, pricing mismatches, delivery errors, or invoicing concerns.
· Cross-functional Coordination : Liaise with Logistics, Finance, Aftersales, and Sales teams to ensure smooth execution of orders.
· Reporting : Maintain order records and contribute to reporting on key metrics such as order accuracy, delivery times, and billing efficiency, months end closing, backorder management etc.
· Backorder Management : Monitor and manage backorders, communicate timelines to customers and sales, and work with supply chain/logistics to prioritize and expedite fulfillment.
Qualifications:
· Bachelor's degree in business, Supply Chain, or related field preferred.
· 3 years of experience in commercial operations, order management, or sales support.
· English and German is mandatory — both written and verbal.
· Experience working with ERP/CRM systems (eg, SAP, Oracle, Salesforce, NetSuite).
· Strong organizational skills and attention to detail.
· Excellent communication and interpersonal skills, especially with customers and sales teams.
· Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
· Proactive problem-solving mindset and a strong sense of ownership.
Preferred Skills:
· Familiarity with order-to-cash (O2C) processes and B2B environments.
· Experience working with Dutch or broader Benelux customers.
· Knowledge of international logistics or trade compliance is a plus.
· Proficiency in Microsoft Excel and reporting tools.
