Groups and Events Coordinator

A young, fresh, unconventional hotel chain that does things a little differently. That's Leonardo Hotels. A no-nonsense approach is what characterizes us. Leonardo Hotels operates in the Benelux and has 28 hotels. The employees of our Support Office carry out work related to their discipline for all these hotels. Sales, Marketing, Revenue, Finance, and Human Resources are centralized and work across the board for the hotels in the Benelux. A fixed workplace? Not for us! The employees in these departments regularly visit the various hotels and occasionally work in the Support Office at Leonardo Hotel Amsterdam Rembrandtpark. No two days are the same, which makes the work varied and challenging!

What you'll do - Key Responsibilities

  • Serve as main contact for group and event inquiries across hotels in your region. This includes both leisure‐ and business‐ group bookings.

  • Receive, respond to and convert inquiries into concrete event/booking proposals. Prepare and send tailored quotations, negotiate and close contracts where applicable.

  • Create and manage group bookings: compile rooming lists, coordinate room blocks, meals, extras, and any special requests (e.g. Meeting rooms, catering, F&B, activities).

  • Plan and coordinate a range of events: from standard group stays and meetings to events such as conferences, group tours, weddings, walking dinners, private functions, etc.

  • Act as the liaison between internal departments: Sales/Reservations, Meeting & Events (M&E), Food & Beverage (F&B), Front Office, Housekeeping, etc., to ensure seamless execution of group events.

  • Attend events on-site as needed — to support operations and ensure quality control. Be present during events to coordinate with teams and handle last-minute changes.

  • Maintain accurate and up-to-date records in hotel systems (e.g. Opera Sales & Catering or other PMS), including group bookings, function sheets, billing, invoicing and follow-up with clients.

  • Build and maintain strong relationships with clients, tour operators, corporate clients, and internal stakeholders; proactively identify new group/event business opportunities in the region

What we ask - Profile / Requirements

  • Education: MBO / HBO level (Hospitality Management, Facility Management, Business or comparable).

  • Experience: Ideally 1–2 years in event management / banqueting / group bookings / hospitality, ideally in a hotel environment.

  • Languages: Fluent English and good Dutch (spoken & written). Dutch should be preferable especially given the regional focus on South Netherlands / Benelux.

  • Strong communication & interpersonal skills — able to negotiate, build relationships, deal with clients and internal teams.

  • Organizational skills, detail-oriented, good multitasker, able to handle a variety of bookings and events simultaneously. Flexible, able to adapt when last-minute changes arise.

  • Experience with hotel booking / event systems — ideally familiarity with Opera Cloud Sales & Catering, or willingness to learn it.

  • Customer/service mindset — hospitality attitude, team player, ability and willingness to sometimes to work from Amsterdam from time to time, and work as location from another Hotel from the Portfolio.
