Payroll Manager

About the Role
We are looking for an experienced and highly organised Payroll Manager to join our growing recruitment business and take responsibility for the accurate and timely processing of internal and external payroll. This is a hands-on role suited to someone who has strong payroll knowledge, excellent attention to detail and the confidence to manage the full payroll process from timesheet collection through to payroll submission, reporting and reconciliation.
You will work closely with our recruitment teams to ensure workers are paid accurately and on time, invoices are raised correctly, payroll records are maintained and all relevant statutory requirements are met. The role will also involve supporting and developing an apprentice, so previous experience of managing, mentoring or training others would be highly advantageous.
Key Responsibilities
Payroll Processing
Process weekly timesheets and follow up with recruiters to ensure outstanding timesheets are submitted promptly.
Calculate holiday entitlement and holiday payments.
Create and complete payroll validation checks.
Process weekly payroll, including adding new candidates, processing holidays and adjustments, and issuing payslips.
Process payroll adjustments and corrections where required.
Process deductions including DEA and AOE payments.
Complete payroll close-down procedures, including saving reports, updating payroll records and submitting FPS returns to HMRC.
Produce and issue P45s.
Ensure payroll records are accurate and fully up to date.
Upload timesheets to Sage.
Update candidate records and payroll information on Sage.
Complete payroll journals.
Reconcile bank transactions.
Process purchase invoices.
Raise and send invoices.
Set up payments through Company Account, ensuring the appropriate approval process is followed.
Create payment lists and ensure payments are processed accurately.
Update revenue and payroll reporting.
Process self-employed payments, including adding VAT and deducting CIS where applicable.
Complete end-of-period CIS processing.
Prepare and issue CIS statements to candidates.
Submit CIS returns and maintain accurate year-to-date reporting.
Ensure CIS deductions are accurately recorded and reconciled.
Complete compliance reports.
Support National Statistics reporting requirements.
Calculate pension contributions and submit contribution reports.
Maintain accurate payroll and compliance records.
Ensure payroll processes remain compliant with relevant legislation and company procedures.
Credit Control & Payroll Queries
Support credit control activities and follow up outstanding payments where required.
Respond to payroll and payment queries from candidates, clients and internal teams.
Investigate and resolve discrepancies relating to hours, payments, invoices and revenue.
Work closely with recruiters to resolve missing or incorrect timesheet information.
Maintain clear communication with internal teams to ensure payroll deadlines are consistently met.
Reporting & Reconciliation
Review and update revenue reports.
Identify and correct discrepancies in payroll, invoices, hours and revenue reporting.
Upload and maintain margin reporting.
Produce accurate payroll and financial information for management review.
Continuously improve payroll reporting and reconciliation processes.
About You
We are looking for someone who is experienced, reliable and confident working independently in a busy payroll environment.
You will ideally have:
Previous experience in a payroll management or senior payroll position.
Strong knowledge of payroll processing and payroll legislation.
A minimum Level 4 AAT qualification or equivalent relevant experience.
Experience using Sage or similar payroll/accounting systems.
Experience with HMRC payroll processes, including FPS submissions and P45s.
Knowledge of CIS, pensions, AOE and DEA deductions.
Strong numerical and reconciliation skills.
Excellent attention to detail and accuracy.
The ability to manage deadlines and prioritise competing tasks.
Strong communication skills and the confidence to chase information when required.
Experience of managing, training or mentoring junior members of staff.
A proactive approach to identifying and resolving discrepancies.
The ability to maintain confidentiality when dealing with sensitive employee and candidate information.

The successful candidate will be someone who takes ownership of the payroll function and understands the importance of getting things right first time.
You will need to be comfortable working in a fast-paced recruitment environment where payroll deadlines are critical. You will also need to be confident challenging internal teams when information is missing or incorrect and ensuring recruiters provide the information required to complete payroll accurately.
