How our sorting works

The order in which job vacancies are displayed is determined by a composite score based on the following factors:

  • Keyword Relevance: How well your search terms match the vacancy details. We prioritize matches found in the job title, followed by job requirements, location names, and educational levels. Matches within general employer information or the organization's name carry a lower weight.
  • Commercial Prioritization (Premium Jobs): Vacancies paid for by employers ('Premium' or 'Sponsored') receive a ranking boost and will appear higher in the search results.
  • Recency (Date Relevance): Newer vacancies are prioritized. The relevance score of a vacancy is reduced by half once the posting is older than 30 days.
  • Proximity (Distance Relevance): Vacancies located closer to your search location are ranked higher. For vacancies located more than 30 km from the search center, the relevance score is halved.
The final ranking is established by multiplying all these individual factors to calculate the total relevance score.

    Job description

    Job Overview: Working alongside our client, an established market leader in the supply of specialist industrial equipment for the plastics industry, we are looking for an experienced Spare Parts Coordinator to join their team, providing efficient spare parts, order processing and administrative support to customers.

    Remit:

    * This position will suit an experienced Spare Parts Coordinator, Sales Administrator or Service Administrator with strong customer service and order processing experience.

    * The successful candidate will be responsible for preparing spare parts quotations, processing customer orders and providing efficient administrative support across the service and parts function.

    * Working closely with customers, the UK team, warehouse and Italian HQ, the role will ensure orders, deliveries and customer enquiries are managed accurately and efficiently.

    Responsibilities:

    * Prepare and issue spare parts quotations to customers.

    * Process customer orders accurately and efficiently using SAP.

    * Respond to customer enquiries and resolve parts/service-related issues in a timely manner.

    * Prepare quotations from service reports and raise pro-forma invoices where required.

    * Liaise closely with the Italian HQ, warehouse and other departments regarding availability, delivery times and order progress.

    * Manage dispatch, tracking and proof of delivery for UK and Ireland orders.

    * Maintain accurate filing, records and order documentation.

    * Handle incoming customer calls, gather relevant information and escalate technical enquiries to the help desk where required.

    * Arrange travel, hotels, meeting rooms and other general administrative requirements.

    * Provide administrative support to the accounts team, including invoice checking and filing.

    Experience Requirements:

    * Previous experience within spare parts, sales administration, service administration or a similar order processing role.

    * Good working knowledge of SAP or another ERP system used for processing orders and maintaining customer information.

    * Experience preparing quotations, processing customer orders and supporting the order-to-delivery process.

    * Strong customer service and communication skills, with confidence dealing with customer enquiries by phone and email.

    * Excellent organisational skills with strong attention to detail and the ability to manage several tasks and priorities at the same time
