How our sorting works

The order in which job vacancies are displayed is determined by a composite score based on the following factors:

  • Keyword Relevance: How well your search terms match the vacancy details. We prioritize matches found in the job title, followed by job requirements, location names, and educational levels. Matches within general employer information or the organization's name carry a lower weight.
  • Commercial Prioritization (Premium Jobs): Vacancies paid for by employers ('Premium' or 'Sponsored') receive a ranking boost and will appear higher in the search results.
  • Recency (Date Relevance): Newer vacancies are prioritized. The relevance score of a vacancy is reduced by half once the posting is older than 30 days.
  • Proximity (Distance Relevance): Vacancies located closer to your search location are ranked higher. For vacancies located more than 30 km from the search center, the relevance score is halved.
The final ranking is established by multiplying all these individual factors to calculate the total relevance score.

The company specialises in HVAC, Controls, and Fire & Smoke Control, providing planned and reactive maintenance services to commercial clients across London and the Home Counties.

This is an excellent opportunity for an organised and proactive individual who enjoys working in a fast-paced environment, managing multiple priorities and dealing with customers, engineers and internal teams.

Importantly, you do not need previous M&E or Facilities Management experience. The company is open to candidates from a range of backgrounds, including those with strong administration, coordination, customer service, scheduling or office-based experience.

If you are organised, confident communicating with people and comfortable working in a busy environment, your transferable skills could make you a great fit for this role.

    The Role
Working as part of a close-knit Service Desk team and reporting to the Service Desk Manager, you will provide essential administrative and coordination support for planned and reactive maintenance services.

    Your responsibilities will include:

Managing engineer diaries and coordinating daily schedules.
Handling client enquiries and service requests professionally and efficiently.
    Coordinating reactive and emergency call-outs.
Liaising with engineers to obtain job updates and coordinate ongoing works.
Preparing and issuing Planned Preventative Maintenance (PPM) documentation.
Coordinating with subcontractors and ensuring required information and documentation is received.
Maintaining accurate service records and internal systems.
    Supporting compliance and documentation requirements.
Providing general administrative support to the management team.
Ensuring clients, engineers and internal stakeholders receive a high level of service.
Prioritising urgent requests and escalating issues where required.
    About You
We are looking for someone who is organised, reliable, proactive and able to manage multiple priorities.

You may already have experience as a:

    Service Coordinator
    Service Administrator
    Helpdesk Administrator
    Engineering Administrator
    Facilities Administrator
    Office Administrator
    Scheduler / Coordinator
Experience within M&E, HVAC, Engineering, Building Services or Facilities Management would be advantageous, but is not essential.

We would also like to hear from candidates who have worked in a busy, fast-paced office environment and have strong transferable skills.

    You will ideally have:

Excellent organisational and time management skills.
Strong communication skills and a professional telephone manner.
Confidence dealing with customers, engineers and subcontractors.
The ability to manage multiple tasks and competing priorities.
Good IT skills, including Microsoft Office.
The ability to remain calm and organised when working under pressure.
    Strong attention to detail.
A proactive, positive and team-focused approach.
A willingness to learn and develop.
    The Company
You will be joining a growing Building Services business with around 70 employees and a strong reputation for quality service.

The company works predominantly with leading Facilities Management providers, supporting a diverse portfolio of commercial properties including healthcare facilities, care homes, retail environments and large commercial buildings.

The business has experienced significant growth and continues to invest in its people, offering a supportive working environment, training and genuine opportunities for long-term career development.
