How our sorting works

The order in which job vacancies are displayed is determined by a composite score based on the following factors:

  • Keyword Relevance: How well your search terms match the vacancy details. We prioritize matches found in the job title, followed by job requirements, location names, and educational levels. Matches within general employer information or the organization's name carry a lower weight.
  • Commercial Prioritization (Premium Jobs): Vacancies paid for by employers ('Premium' or 'Sponsored') receive a ranking boost and will appear higher in the search results.
  • Recency (Date Relevance): Newer vacancies are prioritized. The relevance score of a vacancy is reduced by half once the posting is older than 30 days.
  • Proximity (Distance Relevance): Vacancies located closer to your search location are ranked higher. For vacancies located more than 30 km from the search center, the relevance score is halved.
The final ranking is established by multiplying all these individual factors to calculate the total relevance score.

    Job description

    Executive Assistant | Lincoln | Full Time | £45,000 per annum

    Our client is a leading supplier to the kitchen, bedroom and bathroom (KBB) sector, established in 1971. The recent growth of their cabinet hardware brand has been a key driver of their expansion over the past three to five years, and they now operate across the UK and USA.

    Their directors are closely involved in the day-to-day running of the business, and their agile, passionate approach underpins continued growth. They are seeking a candidate who will thrive in this environment and is committed to growing with the business.

    The role offers broad exposure across the organisation, with regular collaboration with colleagues at every level. You will also line-manage the Admin Assistant, who provides support with travel and events.

    The Role

    As Executive Assistant, you will provide comprehensive, high-level support to the two co-owners, reporting jointly to both. This is a pivotal position within the business, requiring the ability to manage competing priorities and act as a trusted partner to senior leadership.

    Working closely with the directors, you will manage their diaries and correspondence, ensure that actions and commitments arising from meetings are tracked and delivered, and drive accountability across their direct reports. You will handle confidential and board-level information with the highest level of discretion, coordinate international travel and events, and provide day-to-day leadership of the Admin Assistant.

    As the business continues to scale, this role will evolve from responsive support to proactive partnership, anticipating the needs of the directors and contributing to the effective operation of the wider organisation. Some out-of-hours availability will be required when the directors are travelling overseas.

    Key Responsibilities

    Diary & Correspondence Management: Manage the inboxes and diaries of both directors, adapting promptly to changing priorities and frequent rescheduling
    Meeting Management & Action Tracking: Attend meetings and take accurate notes, and monitor, chase and close out actions, including informal requests, to ensure timely completion
    Accountability: Hold the directors’ direct reports accountable for delivery across tasks and projects, escalating issues where appropriate
    Travel & Events: Arrange domestic and international travel for both directors and coordinate events, with support from the Admin Assistant
    Team Leadership: Line manage the Admin Assistant, including allocating work, providing feedback and taking responsibility for their output
    Confidentiality: Handle sensitive, confidential and board-level information with integrity and discretion
    Stakeholder Engagement: Build effective relationships with colleagues, customers and partners across the business, and prioritise stakeholder requests accordingly
    Requirements

    Essential

    Advanced proficiency in Microsoft Office, particularly Excel, and demonstrable competence with Outlook, Teams and Zoom
    Confident, everyday use of AI tools, with an AI-first approach
    Strong adaptability, with the ability to respond effectively to changing priorities in a fast-paced, scaling environment
    Excellent written communication skills
    A proven record of reliable follow-through and delivery
    The ability to work autonomously and effectively without reliance on rigid structure or process
    Demonstrated ability to manage competing priorities from multiple senior stakeholders, and to manage and be accountable for the work of others
    Proven discretion and experience handling confidential or board-level information
    Flexibility to be contactable outside normal hours when the directors are travelling overseas
    Desirable

    Two to three years’ experience in a comparable fast-paced executive support role, with greater emphasis placed on capability than length of service
    Experience supporting two senior executives concurrently
    Experience within a rapidly growing, family-owned SME
    Previous line management or mentoring experience
    Working knowledge of Notion
