How our sorting works

The order in which job vacancies are displayed is determined by a composite score based on the following factors:

  • Keyword Relevance: How well your search terms match the vacancy details. We prioritize matches found in the job title, followed by job requirements, location names, and educational levels. Matches within general employer information or the organization's name carry a lower weight.
  • Commercial Prioritization (Premium Jobs): Vacancies paid for by employers ('Premium' or 'Sponsored') receive a ranking boost and will appear higher in the search results.
  • Recency (Date Relevance): Newer vacancies are prioritized. The relevance score of a vacancy is reduced by half once the posting is older than 30 days.
  • Proximity (Distance Relevance): Vacancies located closer to your search location are ranked higher. For vacancies located more than 30 km from the search center, the relevance score is halved.
The final ranking is established by multiplying all these individual factors to calculate the total relevance score.

    Job description

    Here at Tay Fire & Security, we’re looking for an Administrator/Regional Operations Coordinator to join our friendly and growing team based at our Head Office in Bingham, Nottingham. You’ll work alongside our other Operations Coordinators to support the smooth day-to-day running of engineering operations across the UK. You’ll act as a key point of contact for your allocated clients and site teams, building strong working relationships while ensuring engineers are effectively scheduled and customers receive an excellent level of service.

    The Regional Operations Coordinator will take ownership of a varied range of operational and administrative responsibilities, from planning engineer schedules and processing paperwork to ordering parts, raising purchase orders and preparing Risk Assessments and Method Statements. This is a busy and highly reactive role that requires excellent organisation, attention to detail and communication skills, along with the ability to prioritise effectively and work proactively both independently and as part of a collaborative team.

    We’re offering a competitive salary, up to 22 days holiday per annum (depending on your package), increasing one day per year up to a maximum of 25 days per annum, plus Bank Holidays, a supportive and friendly working environment, and the opportunity to develop your career within a growing Fire & Security business. You’ll work as part of a collaborative Operations team where your contribution is valued, supporting engineers working throughout the UK and building strong relationships with our customers, with ongoing support from experienced colleagues and the opportunity to broaden your operational and industry knowledge.

    Here’s a look at some of the things you’ll be doing:

    Build and manage relationships with allocated core customers and site teams, acting as a key point of contact, handling enquiries professionally and ensuring customer requirements are clearly understood, communicated and responded to efficiently
    Assist with planning engineer work schedules and booking customer appointments, process engineer paperwork and issue documentation to clients, monitor KPIs and arrange engineer travel and hotel accommodation where required
    Maintain internal databases, online filing systems and customer asset information, while ordering parts, managing stock levels, raising purchase orders and preparing Risk Assessments and Method Statements to support day-to-day operations
    Provide wider administrative support across the business, including managing correspondence, answering and redirecting calls, organising company documentation and handling queries from managers and employees, while supporting directors and management where required

    Can you show experience in some of these areas:

    Proven recent experience in an Administrator, Administrative Assistant, Operations Coordinator or similar role, with the ability to manage a varied workload and ideally experience supporting field-based teams
    Excellent IT skills, including strong proficiency with recent versions of Microsoft Excel, Word and Adobe PDF, together with experience maintaining databases, electronic filing systems and general office administration
    Excellent prioritisation, organisational and time-management skills, with the ability to work effectively in a highly reactive environment, solve problems, maintain strong attention to detail and work confidently without close supervision
    Strong written and verbal communication skills, a positive and proactive attitude and a commitment to delivering excellent customer service, with previous experience within the construction or Fire & Security industry, or knowledge of health and safety and risk assessments, being advantageous
