How our sorting works

The order in which job vacancies are displayed is determined by a composite score based on the following factors:

  • Keyword Relevance: How well your search terms match the vacancy details. We prioritize matches found in the job title, followed by job requirements, location names, and educational levels. Matches within general employer information or the organization's name carry a lower weight.
  • Commercial Prioritization (Premium Jobs): Vacancies paid for by employers ('Premium' or 'Sponsored') receive a ranking boost and will appear higher in the search results.
  • Recency (Date Relevance): Newer vacancies are prioritized. The relevance score of a vacancy is reduced by half once the posting is older than 30 days.
  • Proximity (Distance Relevance): Vacancies located closer to your search location are ranked higher. For vacancies located more than 30 km from the search center, the relevance score is halved.
The final ranking is established by multiplying all these individual factors to calculate the total relevance score.

    About the Company

Our client is a well-established international professional services organisation with a significant operational presence in Belfast. They're known for a large, collaborative team culture and offer genuine long-term career development within a globally recognised organisation — this role sits within their busy document management operation.

    The Role

This is a fast-paced, detail-driven role at the heart of a large, collaborative operational team. As Records Administrator, you'll take ownership of processing, filing and managing documentation within a centralised document management system, making sure information stays accurate, accessible and up to date at all times. You'll work full-time from the Belfast office during an initial settling-in period, moving to a hybrid pattern once you're up to speed — a great fit for someone who thrives on structure, accuracy and being part of a busy, supportive team.

    Key Responsibilities

    • Receive, save and file incoming documentation across a variety of document types
    • Perform accurate keeping of records organised and easily accessible
    • Complete day-to-day administrative requests and update cases within internal systems
    • Compile, sort and verify the accuracy of data prior to entry
    • Draft clear, professional email communications to update relevant parties
    • Escalate queries and issues to the team lead or relevant stakeholders in a timely manner

    What You'll Need

    • Strong attention to detail and a commitment to accurate, high-quality work
    • Excellent planning and organisational skills, with the ability to manage competing priorities
    • Good communication skills, both written and verbal
    • A collaborative approach and willingness to support colleagues and contribute to team goals
    • Initiative and good judgement in problem-solving and escalation
    • Proficiency in Microsoft Office — Word, Excel, PowerPoint, Outlook and Teams

    Why Apply?

    • Competitive salary
    • Hybrid working
    • Supportive, collaborative team environment
    • Ongoing training and professional development
    • Opportunity to build a career within a globally recognised organisation
