How our sorting works

The order in which job vacancies are displayed is determined by a composite score based on the following factors:

  • Keyword Relevance: How well your search terms match the vacancy details. We prioritize matches found in the job title, followed by job requirements, location names, and educational levels. Matches within general employer information or the organization's name carry a lower weight.
  • Commercial Prioritization (Premium Jobs): Vacancies paid for by employers ('Premium' or 'Sponsored') receive a ranking boost and will appear higher in the search results.
  • Recency (Date Relevance): Newer vacancies are prioritized. The relevance score of a vacancy is reduced by half once the posting is older than 30 days.
  • Proximity (Distance Relevance): Vacancies located closer to your search location are ranked higher. For vacancies located more than 30 km from the search center, the relevance score is halved.
The final ranking is established by multiplying all these individual factors to calculate the total relevance score.

    About the role


    We are looking for an organised, reliable and proactive Admin Assistant to join our team in Edinburgh.

    This is a varied role supporting the team with the day-to-day administration that keeps the business running smoothly. We are a young, dynamic team who work hard, enjoy what we do and also like to socialise together.


    We are flexible about the level of experience you bring. What matters most to us is that you are dependable, highly organised, communicate well and are comfortable using your own initiative.

    The role will initially be around 20–25 hours per week, with flexibility around how those hours are structured. There is also potential for the role and hours to grow over time for the right person.


    What you’ll be doing


    Your responsibilities will be varied and are likely to include:


    • Supporting the team with general day-to-day administration
    • Organising travel, accommodation and related arrangements
    • Helping coordinate meetings, diaries and team activities
    • Managing and responding to telephone calls and general enquiries
    • Organising company documents, records and other administrative matters
    • Supporting the smooth running of the Edinburgh office
    • Coordinating with suppliers and other external contacts where required
    • Helping the team stay organised and making sure administrative tasks don’t get missed
    • Identifying ways that our internal processes and procedures could work better
    • Taking ownership of ad hoc tasks and projects as they arise


    This isn’t a role where every task will always arrive with a detailed set of instructions. We are looking for someone who is comfortable thinking, “I can sort that,” and then finding a sensible way to get it done.


    What we’re looking for

    • Reliable: if you say you’re going to do something, the team can trust that it will get done
    • A strong communicator: confident communicating with colleagues, clients, suppliers and other contacts, both in writing and over the phone
    • Proactive: you notice what needs doing rather than always waiting to be asked
    • Flexible: you’re happy working in a growing business where priorities can sometimes change
    • Practical: when something needs solving, your instinct is to find a solution
    • Comfortable with technology: able to confidently use everyday office software and learn new systems
    • A team player: you enjoy being part of a collaborative team and helping other people do their jobs well


    Previous administration, PA, office support or office management experience would be useful, but we’re open-minded about your background. If you’re organised, capable and have the right attitude, we’d still like to hear from you.
