How our sorting works

The order in which job vacancies are displayed is determined by a composite score based on the following factors:

  • Keyword Relevance: How well your search terms match the vacancy details. We prioritize matches found in the job title, followed by job requirements, location names, and educational levels. Matches within general employer information or the organization's name carry a lower weight.
  • Commercial Prioritization (Premium Jobs): Vacancies paid for by employers ('Premium' or 'Sponsored') receive a ranking boost and will appear higher in the search results.
  • Recency (Date Relevance): Newer vacancies are prioritized. The relevance score of a vacancy is reduced by half once the posting is older than 30 days.
  • Proximity (Distance Relevance): Vacancies located closer to your search location are ranked higher. For vacancies located more than 30 km from the search center, the relevance score is halved.
The final ranking is established by multiplying all these individual factors to calculate the total relevance score.

    Job description

    This role is for an Executive Office Assistant supporting the Chief Executive Office in the healthcare sector, based in Camberley. You'll help keep the office running smoothly by handling key administrative tasks and ensuring everything is well-organised.

    Description

    a) Administrative Support

    · Provide administrative support to the Executive Office and wider Executive Support Team.

    · Work predominantly from the office base to support the day-to-day operation of the Executive Office, providing a visible and responsive administrative service to Chief Officers, colleagues and visitors.

    · Undertake routine administrative duties including photocopying, scanning, filing and processing correspondence.

    · Sort and prioritise incoming mail and emails, distributing items as appropriate and escalating urgent matters where necessary.

    · Ensure urgent and confidential communications are handled sensitively and distributed to the appropriate individuals in a timely manner.

    · Prepare, collate and distribute meeting papers, briefing packs and other documentation as required.

    · Maintain accurate records, databases, contact lists and filing systems to support the effective operation of the Executive Office.

    b) Co-ordination and Planning

    · Assist with the organisation of meetings, events, workshops and visits, ensuring all necessary arrangements are in place.

    · Support the maintenance of action logs, monitoring systems and records relating to Executive Office activities.

    · Assist in the collection and collation of information required for reports, projects and corporate returns.

    · Act as a point of contact for routine enquiries, responding appropriately and referring more complex matters to the relevant member of the team.

    · Work collaboratively with colleagues across the organisation to support the efficient running of the Executive Office.

    c) Information and Records Management

    · Support the production of routine reports, spreadsheets and other documentation as required.

    · Develop and maintain effective electronic and paper filing systems, ensuring information is stored securely and can be easily retrieved.

    · Ensure records and information are maintained in accordance with organisational policies and procedures, including annual leave records.

    · Order and maintain stocks of stationery and office supplies for the Executive Office.

    · Manage Purchase Orders and invoices for the Chief Executive Office

    d) Team Working and General Duties

    · Work closely with other administrators and Personal Assistants across the organisation to provide an effective and responsive support service.

    · Provide cross-cover for Personal Assistants and administrative colleagues during periods of annual leave, sickness absence and other planned absences

    · Welcome visitors and provide administrative support for meetings and events as required.

    · Maintain confidentiality and handle sensitive information in an appropriate and professional manner at all times.

    · Contribute to the continuous improvement of administrative processes and ways of working within the Executive Office.

    · Undertake any other reasonable duties commensurate with the grade of the post as requested by the Senior Business Manager.

    Profile

    A successful Executive Office Assistant should have:

    Experience in providing administrative support in a professional setting.
    Strong organisational skills and attention to detail.
    Excellent communication skills, both written and verbal.
    Proficiency in using office software such as Microsoft Office Suite.
    Ability to handle sensitive information with discretion and professionalism.
    A proactive approach to problem-solving and multitasking.Job Offer

    Hourly pay ranging from £14.00 to £16.00, dependent on the level of experience.
