How our sorting works

The order in which job vacancies are displayed is determined by a composite score based on the following factors:

  • Keyword Relevance: How well your search terms match the vacancy details. We prioritize matches found in the job title, followed by job requirements, location names, and educational levels. Matches within general employer information or the organization's name carry a lower weight.
  • Commercial Prioritization (Premium Jobs): Vacancies paid for by employers ('Premium' or 'Sponsored') receive a ranking boost and will appear higher in the search results.
  • Recency (Date Relevance): Newer vacancies are prioritized. The relevance score of a vacancy is reduced by half once the posting is older than 30 days.
  • Proximity (Distance Relevance): Vacancies located closer to your search location are ranked higher. For vacancies located more than 30 km from the search center, the relevance score is halved.
The final ranking is established by multiplying all these individual factors to calculate the total relevance score.

This is a varied role that will combine traditional EA/PA responsibilities with wider business administration, project coordination and relationship management. No two days are necessarily the same, so we are looking for someone who is proactive, adaptable and enjoys being involved.

Key Responsibilities as an EA/ PA

Manage and prioritise busy diaries, calendars, meetings and inboxes.
Act as a key point of contact for internal and external stakeholders.

    Arrange travel, accommodation and itineraries.
Prepare reports, presentations, correspondence and briefing documents.
Provide general administrative and organisational support to senior leadership.
Assist with projects, ensuring actions and deadlines are kept on track.
Organise events and liaise with clients, senior contacts and external stakeholders.
Handle confidential and sensitive information with complete discretion.
Support with HR and financial administration, including expenses and other routine processes.
    Maintain accurate records and documentation.
Provide guidance and support to junior administrative team members where required.
Take ownership of ad hoc tasks and provide support wherever needed.
    What We're Really Looking For
Whilst previous EA, PA experience is required, personality is just as important as experience.

We are looking for someone who is:

Highly organised with excellent attention to detail.
Someone who is adaptable and can work with change
Proactive and naturally able to think ahead.
Warm, personable and approachable however knows when pressure needs to be applied
A confident communicator who enjoys building relationships.
Comfortable dealing with people at all levels.
    Discreet, trustworthy and professional.
Calm under pressure and able to manage competing priorities and communicate this with the wider team
Resourceful, flexible and happy to get involved.
Someone who takes ownership rather than waiting to be asked.
Able to build effective working relationships, demonstrate empathy, adapt communication style to different audiences, and manage challenging situations professionally
Competent user of MS Office e.g. MS Word, Powerpoint, Excel and also Adobe.
    What Good Looks Like
Ultimately, this person will become a trusted right hand to senior leadership.
They will anticipate what needs to be done and keep things moving, ensure nothing falls through the cracks and bring a sense of organisation and calm to a busy environment.

We are looking for someone who has the experience to do the job, but whose personality, communication style and ability to build trust will make them truly successful in the role.
