How our sorting works

The order in which job vacancies are displayed is determined by a composite score based on the following factors:

  • Keyword Relevance: How well your search terms match the vacancy details. We prioritize matches found in the job title, followed by job requirements, location names, and educational levels. Matches within general employer information or the organization's name carry a lower weight.
  • Commercial Prioritization (Premium Jobs): Vacancies paid for by employers ('Premium' or 'Sponsored') receive a ranking boost and will appear higher in the search results.
  • Recency (Date Relevance): Newer vacancies are prioritized. The relevance score of a vacancy is reduced by half once the posting is older than 30 days.
  • Proximity (Distance Relevance): Vacancies located closer to your search location are ranked higher. For vacancies located more than 30 km from the search center, the relevance score is halved.
The final ranking is established by multiplying all these individual factors to calculate the total relevance score.

    Job description

    Package Description: Receptionist and Administrator

Be the person who helps make primary care work for your Brighton community.

For many of our patients, you'll be one of the first people they speak to when they need our help.

That makes this much more than answering phones and booking appointments.

At Allied Medical Practice, we're looking for a Receptionist and Administrator to join our team across School House Surgery and Church Surgery in Brighton.

You'll help patients navigate our services, make sure information gets to the right people and support our clinical teams with the administration that keeps a busy GP practice running.

Some days will be busy. Priorities can change quickly. You'll speak to people who are worried, frustrated or simply unsure where to turn.

That's why we're looking for someone who is organised, calm, approachable and genuinely wants to help people.

    What you'll focus on

→ Helping patients access the right care

You'll be one of the first points of contact for our patients, whether they're speaking to us face-to-face or over the phone.

You'll help with appointments, respond to queries and make sure patients are directed to the right person or service.

Sometimes that means dealing with straightforward requests. At other times, you'll need to listen carefully, follow our processes and recognise when something needs to be escalated.

→ Keeping the practice running smoothly

There's a lot that happens behind the scenes in General Practice.

You'll support the day-to-day administration that helps our clinical teams deliver care, including managing emails, correspondence, patient records and other administrative tasks.

You'll need to be comfortable juggling different priorities while maintaining accuracy and confidentiality.

→ Managing appointments and patient requests

You'll book, amend and cancel appointments, helping us make the best use of the clinical time available.

You'll also deal appropriately with urgent appointment requests and home visit requests, following practice procedures to make sure information reaches the right clinical colleague.

    → Supporting prescriptions and referrals

You'll support the processing of repeat prescription requests in line with practice procedures and help ensure they're dealt with efficiently.

You'll also help process referrals from our GPs, making sure information is complete and sent to the appropriate service.

    → Managing patient information

Accurate information is essential to safe patient care.

You'll help manage correspondence and hospital letters, update patient records, support new patient registrations and make sure information is coded, filed or passed to the appropriate member of the clinical team.

You'll work with our clinical system, SystmOne, and maintain patient confidentiality at all times.

→ Being part of the practice team

You'll work closely with GPs, nurses, healthcare assistants, administrators and practice colleagues.

Good primary care depends on people working together, so you'll communicate regularly with colleagues both within the practice and across other NHS and healthcare services.

You'll be someone your colleagues can rely on to follow things through and get the details right.

The kind of person who'll enjoy working here

Our Brighton practices are developing and changing, so we're looking for someone who is comfortable being part of a service that continues to evolve.

For this role, that doesn't mean we expect you to come in and transform General Practice.

It means being willing to learn, being flexible when things change and approaching problems with a positive, practical attitude.

You'll probably enjoy this role if you:

Like helping people and providing good service

Can stay calm and professional when someone is upset or frustrated

Enjoy being busy and having a variety of things to do

Are organised and pay attention to detail

Can prioritise when several things need your attention

Are comfortable using IT systems and learning new ones

Can follow processes while using common sense

Know when to make a decision and when to ask for help

Work well as part of a team but can also get on with things independently

Are dependable, punctual and take responsibility for getting things done

Can adapt when priorities or ways of working change

You don't need to know everything about General Practice on day one.

What matters is that you're willing to learn, care about doing a good job and understand that even the smallest interaction can make a difference to a patient's experience.

    What you'll bring

    You'll need:

A good standard of education, including Maths and English GCSE at grades A–C or equivalent

Experience working in General Practice or the NHS

Practical experience of working with others

Experience of working under your own initiative

Experience using IT systems in a working environment

Experience using clinical systems such as SystmOne or EMIS

Excellent verbal and written communication skills

Confidence dealing with people face-to-face and over the phone

The ability to resolve problems calmly, including when under pressure

Good time management and the ability to work to deadlines

Strong organisational skills and the ability to prioritise and multitask

A good understanding of confidentiality and the importance of protecting patient information

A flexible, reliable and professional approach to work

It would be great if you also have experience in customer service, understand basic medical terminology or have experience coding or summarising medical records.

    The environment you'll work in

Allied Medical Practice operates across School House Surgery and Church Surgery in Brighton.

You'll be joining at an important time for our Brighton practices.

We're continuing to develop the way our teams work together and strengthen links across our wider Sussex primary care services, helping colleagues share knowledge, experience and support.

Our practices are busy and our patients have a wide variety of needs, so no two days will be exactly the same.

You'll be part of a team that is focused on providing a good service to our patients while continuing to improve how we work.

    Who are we?

We are Integrated Care 24 (IC24), the leading not-for-profit Social Enterprise providing innovative and patient-focused primary care services.

IC24 is committed to improving access to health and social care for our patients and reducing demand on secondary care services. We provide services to over six million patients, including GP Out of Hours, NHS 111, Primary Care and Integrated Urgent Care services.

Every day, our people help patients access the care they need, when they need it most.

    What's in it for you?

    Hourly pay rate of £12.71

6.6 weeks of annual leave per annum

Access to the NHS Pension Scheme

Learning and development opportunities to support your career journey

Employee Assistance Programme including free 24/7 counselling support

Access to health and wellbeing initiatives

    Blue Light Card discounts

    Colleague recognition and reward schemes

The opportunity to make a real impact within a growing Social Enterprise

Location: Allied Medical Practice – School House Surgery & Church Surgery, Brighton

    Hours: 32 hours per week

We celebrate brave ideas and brave people.

Due to the nature of this position, employment is subject to proof of eligibility to work in the UK, a satisfactory standard DBS check and satisfactory references.

We have a duty to safeguard, protect and promote the welfare of those who use our services and our employees. This means we take every step we can to protect people from harm, abuse and neglect.
