How our sorting works

The order in which job vacancies are displayed is determined by a composite score based on the following factors:

  • Keyword Relevance: How well your search terms match the vacancy details. We prioritize matches found in the job title, followed by job requirements, location names, and educational levels. Matches within general employer information or the organization's name carry a lower weight.
  • Commercial Prioritization (Premium Jobs): Vacancies paid for by employers ('Premium' or 'Sponsored') receive a ranking boost and will appear higher in the search results.
  • Recency (Date Relevance): Newer vacancies are prioritized. The relevance score of a vacancy is reduced by half once the posting is older than 30 days.
  • Proximity (Distance Relevance): Vacancies located closer to your search location are ranked higher. For vacancies located more than 30 km from the search center, the relevance score is halved.
The final ranking is established by multiplying all these individual factors to calculate the total relevance score.

    About the Role

    We are looking for a highly organised and proactive Office Manager to take ownership of the smooth day-to-day running of our busy office. This is a varied and trusted role combining office coordination, executive support to the CEO and practical administrative support across the wider business.

    We are a well-established business with a vibrant, collaborative office environment and ambitious plans for the future. The company is currently undergoing an exciting rebrand and period of growth, making this an excellent time to join and help strengthen the systems, standards and working environment that support our team.

    The successful candidate will be confident working independently, comfortable managing multiple priorities and naturally inclined to identify what needs doing and see it through.

    Key Responsibilities

    Office Management & Coordination

    · Take ownership of the day-to-day running of the office, ensuring it remains organised, professional and welcoming.

    · Act as the first point of contact for visitors and incoming telephone calls, handling enquiries professionally and directing them appropriately.

    · Manage office supplies, facilities requirements and relationships with relevant suppliers and service providers.

    · Coordinate meetings, internal events and company activities, including rooms, refreshments, equipment and supporting documentation.

    · Maintain organised office records, shared files, procedures and administrative systems.

    · Support new-starter arrangements and coordinate practical onboarding requirements, including equipment, access and introductory information.

    · Liaise with external IT support and other providers to help resolve routine office and systems issues.

    · Promote efficient ways of working and identify opportunities to improve office processes and administration.

    Executive Support

    · Manage the CEO's diary, appointments and meetings, anticipating clashes and priorities.

    · Coordinate travel arrangements, itineraries and meeting logistics.

    · Prepare presentations, reports, agendas and other meeting documentation.

    · Handle confidential correspondence and provide reliable day-to-day executive support.

    Business & Administrative Support

    · Assist the buying team with purchase orders, supplier administration and related records.

    · Complete accurate data entry and maintain company records across relevant systems.

    · Provide flexible administrative support to teams across the business as required.

    · Support the Finance Manager with processing and administrative tasks.

    About You

    · Naturally organised, dependable and able to manage multiple priorities without losing attention to detail.

    · Proactive and comfortable taking ownership of tasks from start to finish.

    · Professional, approachable and confident communicating with colleagues, visitors, suppliers and senior stakeholders.

    · Able to work independently, use sound judgement and handle confidential information discreetly.

    · Flexible and happy to become involved in a broad range of office and business-support activities.

    · Excellent written English and strong attention to detail.

    · Highly proficient across Microsoft 365, particularly Outlook, Word, Excel, Teams and SharePoint, with the confidence to support colleagues, manage shared files and calendars, and identify more efficient ways of working.

    Experience

    · Previous experience as an Office Manager, Senior Office Coordinator, Executive Assistant or in a similarly broad office-based role.

    · Demonstrable experience coordinating office operations, supporting senior leaders and managing varied administrative workloads.

    · Experience working with suppliers, maintaining records and improving administrative processes.

    Advantageous

    · Experience within an SME, construction or project-led environment, together with an interest in marketing and the confidence to support occasional company communications or rebrand activity.

    · Experience updating website or business social-media content, particularly LinkedIn, and producing simple marketing literature, presentations, case studies or event materials
