We are seeking an experienced Office Manager to join a friendly and supportive team based in Kingston. This is a busy and varied position suited to someone who enjoys being at the heart of an office and ensuring everything runs smoothly behind the scenes.
Responsibilities will include:
Managing the main switchboard, screening and directing calls, taking messages and welcoming visitors to the office
Coordinating meeting rooms, refreshments, lunches and catering, while ensuring communal areas are maintained to a high standard
Managing office supplies, stationery, kitchen and cleaning stock, alongside incoming post and deliveries
Maintaining employee and supplier records and providing general administrative support across the business using Microsoft Office
Coordinating office facilities, liaising with suppliers and contractors, overseeing cleaning services and supporting health and safety processes including weekly fire alarm checks
Recording and submitting monthly utility meter readings and ensuring the office remains organised, compliant and professional at all times
Providing PA support through arranging travel, accommodation and transport bookings, researching options and preparing itineraries
Raising purchase orders via QuickBooks, supporting supplier administration and assisting with invoice and purchasing processes
Coordinating shipments and deliveries, checking goods against delivery notes and purchase orders, and liaising with suppliers regarding outstanding items
Supporting warehouse organisation, stock control, inventory management and wider operational or project-based activities as required
About You
Previous experience in an Office Manager, Operations Manager or similar role
Experience using QuickBooks would be highly advantageous
Strong administrative, organisational and multitasking skills
Excellent communication skills with the ability to build relationships with suppliers and stakeholders
Proactive, adaptable and comfortable working in a fast-paced, hands-on environment
Strong attention to detail and the ability to manage multiple priorities effectively
