How our sorting works

The order in which job vacancies are displayed is determined by a composite score based on the following factors:

  • Keyword Relevance: How well your search terms match the vacancy details. We prioritize matches found in the job title, followed by job requirements, location names, and educational levels. Matches within general employer information or the organization's name carry a lower weight.
  • Commercial Prioritization (Premium Jobs): Vacancies paid for by employers ('Premium' or 'Sponsored') receive a ranking boost and will appear higher in the search results.
  • Recency (Date Relevance): Newer vacancies are prioritized. The relevance score of a vacancy is reduced by half once the posting is older than 30 days.
  • Proximity (Distance Relevance): Vacancies located closer to your search location are ranked higher. For vacancies located more than 30 km from the search center, the relevance score is halved.
The final ranking is established by multiplying all these individual factors to calculate the total relevance score.

    Job description

    As our Workplace Coordinator, you'll set the tone for every visitor, client, and colleague who walks through our doors and you'll be the driving force behind a smooth, well-run, and genuinely enjoyable London Global HQ.

    This is a role where hospitality meets operations: you'll create a warm, five-star welcome for everyone who visits, while taking ownership of the practical, day-to-day running of the office, from health & safety and compliance to maintenance, procurement, and events.


    You'll be the first point of contact for our team, clients, partners, and suppliers, and a proud brand ambassador for SilverDoor so first impressions, professionalism, and a genuine can-do attitude matter here.


    No two days will look the same: one moment you might be greeting a visiting client, the next you could be coordinating a maintenance fix, planning a team social, or supporting a new starter's induction.


    Based in our Chiswick Park office, you'll work closely with our Global Workplace Operations Manager, with real potential to grow this role both in scope, as we look to extend workplace support across our global office locations, and in seniority, as you build your experience.


    We're looking for someone with a positive outlook, exceptional attention to detail, and genuine pride in keeping a space running beautifully. Someone who anticipates needs before they arise, resolves problems on their own initiative, and takes real satisfaction in a job well done.


    The working hours for this role are 08:30 – 17:00, Monday-Friday.


    Front of House and Reception

    • Serve as the first point of contact for all visiting clients, guests, and contractors, welcoming them promptly in a confident, friendly, and professional manner.
    • Create a warm, memorable welcome for every visitor offering refreshments and hospitality touches that reflect the SilverDoor brand.
    • Maintain a professional, tidy, and beautifully presented reception and office entrance area at all times.
    • Manage visitor check-in procedures and parking requirements, ensuring compliance with security protocols.
    • Oversee incoming and outgoing post, deliveries, and parcels.


    Workplace Operations

    • Act as the primary contact for all London office-related enquiries, providing prompt and effective support.
    • Take ownership of the day-to-day management of the London office, ensuring smooth operations and exceptional standards.
    • Keep the office organised, well-stocked, and on-brand. Managing supplies, refreshments, and storage areas so everything is easy to find and ready to use.
    • Work closely with the Global Workplace Operations Coordinator to promptly address and resolve office maintenance needs.
    • Act as the primary contact with building and site management to ensure smooth communication and coordination of services.
    • Liaise with suppliers and service providers to keep the office running smoothly.
    • Manage new starter H&S training and office onboarding induction, arranging welcome packs and ensuring every workspace feels ready.
    • Act as a Health & Safety ambassador, proactively promoting positive practices and ensuring adherence to company policies.
    • Serve as a designated Fire Warden and First Aider (training provided).
    • Manage and update office policies and procedures to ensure efficiency and compliance.
    • Support travel and accommodation arrangements across the company, ensuring a seamless experience for employees.
    • Ensure prompt communication of all relevant office, building, or Chiswick Park information.
    • Support Global Workplace Coordinator with wider company workplace portfolio admin.


    Events, Culture & Employee Experience

    • Support the planning and management of company events.
    • Help foster a positive, connected office culture by encouraging participation in social and wellbeing initiatives.


    Experience:

    • Similar experience in a similar role such as Receptionist, Administrative Assistant or Office Coordinator
    • Knowledge of Health & Safety standards and workplace compliance is a plus (training provided)


    Skills:

    • An organised and ‘can-do’ approach, with genuine pride in keeping a space running smoothly.
    • Excellent written and verbal communication skills, with the ability to communicate with all levels of the business.
    • The ability to adapt and “get stuck in” to solve problems quickly.
    • Ability to manage multiple requests and prioritise workload, staying calm under pressure.
    • Excellent attention to detail — no task too small.
    • A great team player.
