Executive Assistant – International Law Firm

An excellent opportunity has arisen for an experienced Legal Executive Assistant to join a leading international law firm, supporting a high-profile Partner who is also a member of the firm's Executive Committee.
Sitting within one of the firm's fast paced and high profile teams, the EA will primarily support one extremely busy Partner alongside several Associates.
This is a fantastic opportunity for an experienced EA who enjoys taking ownership of their role, working autonomously and building a close working relationship with a senior Partner.
The role
The Partner has a particularly busy practice with a significant volume of billing, expenses and matter openings. While dedicated billing, revenue and matter-opening teams provide support, the EA will be expected to take ownership and manage the processes proactively.
Responsibilities will include:
- Taking ownership of complex Partner billing
- Generating and sending invoices and tracking payments
- Monitoring the billing process using 3E
- Preparing billing narratives and draft cost details
- Maintaining client-specific rates and billing requirements
- Liaising with clients and external counsel regarding invoices and billing queries
- Diary and meeting management
- Processing a high volume of expenses
- Coordinating some travel arrangements
- Opening new clients and matters, including KYC and AML processes
- Preparing papers ahead of meetings
- Monitoring and actioning emails as required
- Working closely with Associates and wider business support teams
- Providing proactive day-to-day EA support
There will also be opportunities to become involved in work relating to really topical matters.
About you
The successful candidate will be an experienced EA who is comfortable supporting at senior Partner level and confident making decisions independently.
You will need:
- Strong and demonstrable complex legal billing experience – essential
- Excellent organisational and prioritisation skills
- The confidence to work autonomously and use your initiative
- Strong problem-solving skills
- Excellent communication and interpersonal skills
- The ability to manage pressure and conflicting priorities
- Strong attention to detail
- A proactive and commercially aware approach
- Excellent Microsoft Office skills
- Knowledge of 3E and iManage would be advantageous
This Partner travels frequently, so the ability to troubleshoot, make decisions and keep things moving without constant supervision will be particularly important.
