Due to continued growth, we are looking to recruit a highly organised and proactive Service Administrator to join a busy operations team.
This is an excellent opportunity for an experienced administrator who thrives in a fast-paced environment, enjoys coordinating multiple tasks, and takes pride in delivering exceptional customer service and operational support.
The Role
As a Service Administrator, you will play a key role in supporting the day-to-day operations of the business, ensuring jobs are processed efficiently and service levels are maintained. You will liaise with engineers, suppliers, subcontractors, and customers while managing various administrative processes.
Key Responsibilities
Assess completed and returned jobs, arranging follow-up works where required.
Process requests for additional works and obtain relevant approvals.
Raise and manage purchase orders for goods, materials, and stock requirements.
Monitor and track deliveries, updating systems and records accordingly.
Liaise with suppliers to ensure orders are fulfilled within agreed timeframes.
Manage documentation and maintain accurate records across internal systems.
Support the resolution of invoice and supplier queries.
Ensure customer and service portals are updated accurately and in a timely manner.
Process and manage incoming service and quoted works jobs.
Coordinate subcontractor requirements and associated documentation.
Assist with daily service level agreement (SLA) reporting.
Support engineers with stock replenishment and parts administration.
Handle incoming service notifications and escalate where appropriate.
Provide general administrative support to the wider operations team.
Assist with quotations and customer enquiries when required.
About You
We're looking for a professional and detail-oriented individual who can manage multiple priorities and maintain high standards of accuracy.
Essential Skills & Experience
Previous experience in an administrative or service coordination role.
Strong organisational skills with excellent attention to detail.
Comfortable working with internal systems and databases.
Excellent communication skills, both written and verbal.
Ability to prioritise workload in a busy environment.
Strong customer service mindset.
Proficient in Microsoft Office packages including Excel, Outlook, and Word.
Desirable
Experience working within a service, engineering, facilities management, maintenance, or operational environment.
Experience raising purchase orders and liaising with suppliers.
Understanding of service level agreements (SLAs) and job scheduling processes.
