How our sorting works

The order in which job vacancies are displayed is determined by a composite score based on the following factors:

  • Keyword Relevance: How well your search terms match the vacancy details. We prioritize matches found in the job title, followed by job requirements, location names, and educational levels. Matches within general employer information or the organization's name carry a lower weight.
  • Commercial Prioritization (Premium Jobs): Vacancies paid for by employers ('Premium' or 'Sponsored') receive a ranking boost and will appear higher in the search results.
  • Recency (Date Relevance): Newer vacancies are prioritized. The relevance score of a vacancy is reduced by half once the posting is older than 30 days.
  • Proximity (Distance Relevance): Vacancies located closer to your search location are ranked higher. For vacancies located more than 30 km from the search center, the relevance score is halved.
The final ranking is established by multiplying all these individual factors to calculate the total relevance score.

    Job description

    Event Coordinator – 9 Month Fixed-Term Contract

Location: Nottingham City Centre (NG1) / Event Sites / Some Home Working

Salary: £30,000 per annum, pro rata (£22,500 gross over the 9-month contract)

    Contract: Full-time, 9-month fixed-term contract

Working pattern: Primarily office and event-based, with some home working. Evening and occasional weekend work required.

    About Carpe Noctum

Carpe Noctum Ltd is a Nottingham-based events company producing some of the city's best-known nightlife and live events.

Our flagship event is CRISIS - https://crisisnottingham.com, the UK's largest weekly student night, alongside a varied calendar of pop-up events, festivals, bars and other live experiences.

We're a small, hands-on team, so we're looking for someone who is happy to get properly involved – from planning and promotion through to being on site and making sure the event actually happens.

    The Role

We're looking for an Event Coordinator to join us on a 9-month fixed-term contract.

You'll help plan, organise and deliver our events, working closely with venues, suppliers, promoters and the rest of our team. This is a practical events role rather than a purely desk-based position – you'll be involved in everything from advance planning and ticketing through to being on site while events are running.

A major part of the role is helping to deliver CRISIS every Wednesday during Nottingham university term time.

You must therefore be available to work every Wednesday evening and late into the night during term time. This is an essential requirement of the role.

Wednesday evening event hours form part of the normal working week, with daytime hours adjusted accordingly.

Outside of events, you'll primarily work from our Nottingham city centre (NG1) office, with some flexibility to work from home where appropriate.

    What You'll Be Doing
    • Helping plan and deliver events from initial preparation through to completion
    • Working on-site at CRISIS every Wednesday night during university term time
    • Coordinating event logistics, venues, suppliers and contractors
    • Assisting with event set-up, operation and breakdown
    • Managing guest lists, ticketing, bookings and event information
    • Supporting event marketing, promotions and ticket sales
    • Liaising with customers, venues, suppliers and other event partners
    • Troubleshooting problems and making decisions during live events
    • Helping ensure events run safely, smoothly and on schedule
    • Supporting post-event administration, reporting and follow-up
    • Working alongside a small team and getting stuck in wherever needed
    About You

We're looking for someone who is:

    • Highly organised and comfortable juggling multiple events, deadlines and priorities
    • A strong communicator, both in person and in writing
    • Confident dealing with venues, suppliers, customers and event staff
    • Calm and capable when things don't quite go to plan
    • Comfortable working in a busy nightlife and events environment
    • Reliable and able to take responsibility for getting things done
    • Happy working both independently and as part of a small team
    • Comfortable using everyday office software and social media platforms
    • Able to work flexibly around the event calendar

Previous experience in events, nightlife, hospitality or live entertainment would be an advantage, but we're also interested in candidates with strong transferable skills and the right attitude.

    Working Hours

    This isn't a conventional Monday-to-Friday, 9-to-5 events job.

Our biggest weekly event, CRISIS, takes place every Wednesday during university term time, and working the event is a core part of this position. Applicants must be able to work every Wednesday evening through until late at night during term time.

These event hours are part of your normal working week, not additional hours on top of a standard working week, and daytime working hours will be adjusted accordingly.

Other evening and occasional weekend work may also be required depending on our event calendar.

The role is primarily based at our NG1 office and event venues, although some home working is available where the work allows.

    Contract & Salary

This position is offered as a full-time, 9-month fixed-term contract.

    • The salary is £30,000 per annum, pro rata, equivalent to £22,500 gross over the full 9-month contract.
