About the Role
We are looking for a proactive and well-organised Warehouse Operations Administrator to support our night shift operation in Braintree.
This is a varied role combining warehouse administration, operational coordination and day-to-day support for warehouse, ground handling and dispatch teams. You will help ensure information, people, vehicles, cargo and operational documents are coordinated accurately and on time.
The role would suit someone who is detail-oriented, calm under pressure and comfortable working in a fast-paced logistics environment.
Key Responsibilities
- Support daily workforce planning by coordinating shift schedules and allocating manpower across warehouse operatives, ground handling staff and dispatch teams.
- Monitor employee attendance and timekeeping records, report absences or other irregularities to HR and support compliance with site procedures.
- Welcome and coordinate drivers, manage routine vehicle bookings, last-mile appointments and ad hoc vehicle changes based on operational requirements.
- Process and maintain Proof of Delivery (POD) documentation, organise and archive customs-related documents, ensuring records are complete and properly maintained.
- Liaise closely with operations, warehouse, ground handling and ramp teams to share Air Waybill (AWB) information, shipment updates and other operational information.
- Manage operational email communication and ensure relevant teams receive timely updates, monitor cargo readiness and identify any issues with inbound or outbound operations.
- Confirm when shipments are ready for collection, issue pickup notifications and coordinate drivers and relevant teams through the collection process.
- Support transport bookings and assess whether access to airside operational areas is required based on business needs, carry out stock checks and raise procurement requests for operational supplies when required.
- Support the management and distribution of equipment and supplies, including PDA devices, access cards and other operational tools.
- Coordinate forklift charging, equipment maintenance and repair requests.
- Maintain a clean, safe and organised working environment and follow all site Health & Safety procedures.
- Maintain clear communication with line managers and support ad hoc operational tasks when required.
What We're Looking For
- Ideally 1–3 years of experience in warehouse administration, logistics, transport, supply chain or a similar operational environment.
- A degree or vocational qualification in Logistics, Business Administration or a related field is preferred.
- Fluent written and spoken English.
- Additional language skills, particularly Mandarin Chinese, would be an advantage.
- Legal right to work in the United Kingdom.
- Strong attention to detail and the ability to maintain accuracy in a fast-paced environment.
- Good organisational and coordination skills, with the ability to support workforce planning and daily operational activities.
- A proactive communication style and the ability to work effectively with warehouse teams, drivers, ground handling teams and other internal stakeholders.
- Good understanding of FIFO principles and the importance of following standard operating procedures.
- Positive, responsible and service-oriented attitude with a willingness to support changing operational requirements.
- Previous experience with warehouse systems, transport coordination, AWB/POD documentation or customs documentation would be an advantage.
Working Pattern
This position operates on a 4 on, 4 off night shift pattern, covering Monday to Sunday.
As this is an operational support role, you will work closely with both office-based and frontline warehouse teams throughout your shift.
