About The Role:
A leading international architectural practice is looking for a Project Support Administrator to join their team and provide essential administrative support within their London office on a permanent basis. Note, our client is also open to candidates who may require part-time/shorter hour arrangements, or some who may prefer temporary contracts also.
This is a busy, hands-on role suited to someone who enjoys keeping projects organised, managing information and ensuring that deadlines and processes are followed. You’ll work closely with senior members of the project team, supporting the day-to-day administration of a high-volume and complex project. The successful candidate will be highly organised, detail-oriented and confident managing large volumes of information. You’ll need to be comfortable working independently, prioritising competing tasks and communicating with multiple stakeholders.

Key Responsibilities:
- Managing a busy project administration inbox, prioritising incoming queries and ensuring tasks are actioned promptly
- Processing, filing and maintaining project information, including RFIs and Transmittals
- Updating and maintaining project registers, trackers and associated records
- Monitoring incoming information and flagging priority items to the wider project team
- Downloading, filing and uploading project documentation across shared drives and SharePoint
- Maintaining accurate links between project registers, folders and documentation
- Supporting the management and updating of drawing registers
- Investigating filing and information queries and liaising with team members to resolve missing or incorrect information
- Producing weekly reports on open and overdue RFIs and Transmittals
- Maintaining accurate backup versions of key registers and project documentation
- Supporting project inductions and helping team members understand administrative processes
- Assisting with the creation and maintenance of project administration guides and processes
- Providing general and ad hoc project support to the wider team
Key Skills/Requirements:
- Previous experience in Project Support, Project Administration, Document Control or a similar role
- Excellent organisational and time-management skills
- Strong attention to detail and accuracy
- Good Excel skills and confidence working with spreadsheets, registers and trackers
- Experience with SharePoint or other document management systems
- The ability to manage a busy inbox and prioritise tasks effectively
- Confidence communicating with project teams and following up on outstanding information
- A proactive and methodical approach to problem solving
- Experience within architecture, engineering, construction or infrastructure would be advantageous
