How our sorting works

The order in which job vacancies are displayed is determined by a composite score based on the following factors:

  • Keyword Relevance: How well your search terms match the vacancy details. We prioritize matches found in the job title, followed by job requirements, location names, and educational levels. Matches within general employer information or the organization's name carry a lower weight.
  • Commercial Prioritization (Premium Jobs): Vacancies paid for by employers ('Premium' or 'Sponsored') receive a ranking boost and will appear higher in the search results.
  • Recency (Date Relevance): Newer vacancies are prioritized. The relevance score of a vacancy is reduced by half once the posting is older than 30 days.
  • Proximity (Distance Relevance): Vacancies located closer to your search location are ranked higher. For vacancies located more than 30 km from the search center, the relevance score is halved.
The final ranking is established by multiplying all these individual factors to calculate the total relevance score.

    Job description

    Sue Ross Recruitment are working on behalf of our client, a highly successfully and rapidly growing software developer, to recruit an Operations Administrator for their Sheffield city centre office.

    This is a varied role suited to someone who enjoys organisation, problem solving and helping a busy and growing business run efficiently. The Operations Administrator provides day-to-day administrative and operational support across the business. The role combines office and front-of-house coordination with travel, logistics, purchasing, stock and equipment administration, facilities support and general business administration.

    The role works across different teams and priorities, so the successful candidate will be comfortable taking initiative, responding to changing requirements and providing practical support wherever needed. As the business continues to evolve, the scope of the role may also develop. Responsibilities will therefore vary according to operational requirements while remaining aligned with the overall purpose of the position.

    Key Responsibilities for the Operations Administrator

    Office, Reception & General Administration

    * Provide a professional and welcoming first point of contact for visitors, clients and suppliers.

    * Coordinate reception, deliveries, meeting rooms and visitor refreshments.

    * Support diary coordination, meetings and general office arrangements.

    * Coordinate stationery, office supplies and consumables.

    * Provide general administrative support across departments and project teams.

    * Respond to day-to-day internal and external administrative enquiries and ensure requests are appropriately handled or directed.

    * Maintain accurate records, documentation and information within relevant business systems.

    Travel & Accommodation

    * Coordinate UK and international travel and accommodation as for employees, engineers and project teams.

    * Support relationships with hotels, travel providers and other relevant suppliers.

    * Ensure appropriate invoices, receipts and supporting documentation are obtained and maintained.

    Operational & Logistics Support

    * Support the coordination of couriers, shipments, equipment, samples and other operational materials.

    * Prepare and maintain appropriate documentation associated with dispatches and deliveries.

    * Liaise with courier providers, suppliers and colleagues to resolve day-to-day logistical issues.

    Stock & Equipment Administration

    * Support the coordination of stock, equipment and operational supplies across business locations.

    * Maintain accurate stock and equipment records within relevant business systems.

    * Support appropriate identification, storage and traceability of stock and equipment.

    * Coordinate replenishment and availability of PPE, hardware, consumables and other operational equipment.

    * Support the ongoing improvement of stock and equipment administration processes.

    Purchasing & Supplier Support

    * Provide administrative support for purchasing and procurement activities.

    * Coordinate orders for office, operational and project requirements.

    * Liaise with suppliers and service providers regarding orders, availability and administrative queries.

    Finance & Business Administration

    * Support the processing and organisation of invoices, receipts, expenses and other finance-related documentation.

    * Maintain accurate customer, supplier and operational information within relevant business systems.

    Facilities & Office Support

    * Support the day-to-day organisation and upkeep of the Sheffield city centre office.

    * Assist with facilities maintenance and coordination with external service providers.

    * Support relevant office health and safety administration.

    * Coordinate routine facilities activities and checks where appropriate.

    * Assist with the organisation, storage and administration of office IT equipment and other business equipment.

    * Help ensure office, meeting and communal areas remain safe, organised and appropriately equipped.

    Candidate Requirements for the Operations Administrator

    Essential

    Previous experience in an administrative, office coordination or similar support role.

    Strong organisational skills with the ability to manage multiple priorities.

    Excellent attention to detail and accuracy.

    Strong written and verbal communication skills.

    Confident using Microsoft Office, including Outlook, Excel and Word.

    Comfortable learning and working across different business systems.

    Able to work independently whilst supporting colleagues across different teams.

    Professional, approachable and service-focused.

    Proactive and practical approach to solving day-to-day issues.

    Able to use initiative and respond positively to changing business priorities.

    Comfortable working across a varied range of administrative and operational responsibilities.

    Desirable

    Experience coordinating business travel and accommodation.

    Experience supporting logistics, couriers or shipping activities.

    Experience with stock control, inventory or equipment administration.

    Experience supporting purchasing, procurement or supplier administration.

    Experience supporting finance administration.

    Experience using CRM, finance, workforce management or other business administration systems.

    Experience supporting facilities or health and safety administration.

    Experience working within an engineering, manufacturing or technology environment.
