How our sorting works

The order in which job vacancies are displayed is determined by a composite score based on the following factors:

  • Keyword Relevance: How well your search terms match the vacancy details. We prioritize matches found in the job title, followed by job requirements, location names, and educational levels. Matches within general employer information or the organization's name carry a lower weight.
  • Commercial Prioritization (Premium Jobs): Vacancies paid for by employers ('Premium' or 'Sponsored') receive a ranking boost and will appear higher in the search results.
  • Recency (Date Relevance): Newer vacancies are prioritized. The relevance score of a vacancy is reduced by half once the posting is older than 30 days.
  • Proximity (Distance Relevance): Vacancies located closer to your search location are ranked higher. For vacancies located more than 30 km from the search center, the relevance score is halved.
The final ranking is established by multiplying all these individual factors to calculate the total relevance score.

    Job description

    Project Operations & Resource Coordinator - London, 3 days in the office - £35k-£40k

    We are working with an established creative business in London that is looking for a highly organised Project Operations & Resource Coordinator to join its team.

    This is a genuinely varied, internally focused role sitting across project operations, resource coordination and finance administration.

    It would suit someone who enjoys being at the centre of a busy business, keeping people, projects, systems and information organised and making sure everything behind the scenes runs smoothly.

    This is not an accounting role and it is not a client servicing or project delivery position. You will work closely with teams across the business, helping to coordinate resource, maintain accurate project and financial information, support invoicing and keep internal processes running effectively.

    What you will be doing

    • Coordinating resource requests and scheduling people across live projects
    • Maintaining the internal resource planner and keeping allocations accurate and up to date
    • Monitoring workloads, utilisation and capacity and flagging potential issues
    • Supporting and running regular resource planning meetings across teams
    • Managing timesheets, checking accuracy and following up where information is missing
    • Supporting project billing and invoicing, ensuring information is accurate and invoices are raised on time
    • Raising and administering purchase orders and maintaining supplier information
    • Supporting reconciliations, month-end activity and project finance reporting
    • Producing operational reports and identifying discrepancies in project, resource and financial data
    • Working closely with internal project, creative, operations and finance teams
    • Maintaining accurate information within the agency's project management and operational systems
    • Helping to improve workflows, systems and day-to-day operational processes
    • Supporting freelancer administration and associated purchase orders where required

    What we are looking for

    You do not need to be a finance professional.

    We are much more interested in someone who has worked in a busy project-based environment and understands how resource, time, budgets and project administration fit together.

    You may currently be working as a:

    Resource Coordinator | Traffic Coordinator | Studio Coordinator | Operations Coordinator | Project Operations Coordinator | Project Support Coordinator | Resource Executive

    We would particularly like to speak with people who have experience across some of the following:

    • Resource planning, scheduling or allocation
    • Capacity or utilisation tracking
    • Timesheet administration or time recording
    • Project invoicing or billing
    • Purchase orders and supplier administration
    • Budget or project cost tracking
    • Operational reporting and data accuracy
    • Project management, resource planning or agency management systems
    • Excel and working confidently with data
    • Improving internal workflows and processes

    Experience within a creative, digital, marketing, design, communications or similar agency environment would be a real advantage, although we are also open to people from other fast-paced project-based businesses.

    You will need to be naturally organised, confident with numbers and comfortable working with lots of moving parts at once. Attention to detail is really important, as is being someone who will spot when something does not look right and take ownership of getting it resolved.
