How our sorting works

The order in which job vacancies are displayed is determined by a composite score based on the following factors:

  • Keyword Relevance: How well your search terms match the vacancy details. We prioritize matches found in the job title, followed by job requirements, location names, and educational levels. Matches within general employer information or the organization's name carry a lower weight.
  • Commercial Prioritization (Premium Jobs): Vacancies paid for by employers ('Premium' or 'Sponsored') receive a ranking boost and will appear higher in the search results.
  • Recency (Date Relevance): Newer vacancies are prioritized. The relevance score of a vacancy is reduced by half once the posting is older than 30 days.
  • Proximity (Distance Relevance): Vacancies located closer to your search location are ranked higher. For vacancies located more than 30 km from the search center, the relevance score is halved.
The final ranking is established by multiplying all these individual factors to calculate the total relevance score.

    Job description

    The Team & Focus of the Role

    We’re looking for a new Document Management System Administrator to come and join our growing IT department. Our IT department is responsible for delivering secure, reliable, and innovative technology services that support Fisher German’s business operations, client services, and strategic objectives.

    As part of the IT function, you will take ownership of the administration, governance, security, and optimisation of the firms document management platform. You will play a critical part in ensuring colleagues can securely store, locate, share, and manage information throughout its lifecycle as well as work closely with Information Security, Data Governance, Compliance, Change, and Business Application teams to ensure the platform remains compliant, efficient, and aligned with business requirements.

    This position is offered as a permanent, full-time role based on a 37.5 hour week. We also operate a hybrid working policy.

    ​Duties will include:

    * Administer and maintain the Egnyte document management platform, managing folder structures, group memberships, access permissions, and security settings.

    * Provision, modify and remove user access in accordance with approved processes and security requirements.

    * Support onboarding of new teams, departments, and projects within Egnyte.

    * Monitor storage utilisation, platform performance, and user activity.

    * Administer and maintain Egnyte Secure & Govern, including data classification, sensitive content monitoring, governance policies, compliance reporting, audit requirements, and information lifecycle controls.

    * Configure and maintain Egnyte Controlled Documents, ensuring document approval workflows, version control, document reviews, acknowledgements, and controlled publication processes are operating effectively.

    * Support compliance with quality management, information governance, GDPR, regulatory, and audit requirements through the effective use of Controlled Documents and Secure & Govern capabilities.

    * Assist with document migration projects from legacy storage locations into Egnyte, configuring and maintaining retention policies, document classifications, and metadata standards.

    * Perform regular permissions reviews and governance audits to ensure information is appropriately secured and accessible only to authorised users.

    * Investigate and resolve document management issues escalated from the Service Desk.

    * Produce management information and reporting relating to platform usage, adoption, storage consumption, governance compliance, sensitive data exposure, and permissions management.

    * Develop and maintain user guidance, knowledge articles, and training materials.

    * Support user training and adoption activities across the business.

    * Work with vendors and internal teams to troubleshoot and improve integrations with Microsoft 365, Outlook, Teams, SharePoint, and other business systems.

    * Assist with the implementation and governance of Egnyte AI and automation capabilities.

    * Participate in platform improvement initiatives and continuous service enhancement activities.

    * Support periodic access reviews and audit exercises Administer and maintain the Egnyte document management platform.

    The successful candidate will have...

    * Experience administering Document Management Systems, Enterprise Content Management or collaboration platforms such as Egnyte, SharePoint, M-Files or OpenText.

    * Strong understanding of information governance, records management, document lifecycle management, and document control principles.

    * Experience administering permissions, security groups, access controls, retention policies, and governance controls within enterprise platforms.

    * Knowledge of Microsoft 365, Entra ID, Single Sign-On and Multi-Factor Authentication.

    * Strong communication skills with the ability to engage effectively with both technical and non-technical stakeholders.

    * Excellent organisational skills, attention to detail, and ability to manage multiple priorities.

    * Relevant certification in Egnyte, Microsoft 365, ITIL, Information Governance, Records Management or Information Security would be beneficial.
