How our sorting works

The order in which job vacancies are displayed is determined by a composite score based on the following factors:

  • Keyword Relevance: How well your search terms match the vacancy details. We prioritize matches found in the job title, followed by job requirements, location names, and educational levels. Matches within general employer information or the organization's name carry a lower weight.
  • Commercial Prioritization (Premium Jobs): Vacancies paid for by employers ('Premium' or 'Sponsored') receive a ranking boost and will appear higher in the search results.
  • Recency (Date Relevance): Newer vacancies are prioritized. The relevance score of a vacancy is reduced by half once the posting is older than 30 days.
  • Proximity (Distance Relevance): Vacancies located closer to your search location are ranked higher. For vacancies located more than 30 km from the search center, the relevance score is halved.
The final ranking is established by multiplying all these individual factors to calculate the total relevance score.

    ndy File Associates Limited is working as a Recruitment Agency on behalf of our client in relation to this permanent, part-time opportunity.

    Administrative Assistant (Part-Time)

    Salary: £14,870.70 per annum
    Hours: 22.5 hours per week (flexible working hours available)
    Location: Rotherham S60
    Reporting to: Operations Manager / Facilities Manager

    The Role

    Our client is a growing Facilities Management company seeking a reliable, organised and proactive Administrative Assistant to provide part-time support to their operations team.

    This varied role is ideal for someone with excellent attention to detail, strong IT skills and the ability to manage multiple tasks efficiently. You will play a key role in supporting ongoing projects, maintaining accurate records, organising job documentation and providing day-to-day administrative support across the business.

    Key Responsibilities

    * Match photographs of completed works to the relevant jobs and accurately upload records.

    * Organise, maintain and update electronic job files and documentation.

    * Provide general administrative support to the operations team.

    * Update spreadsheets, databases and internal systems.

    * Assist with compiling reports and project information.

    * Liaise with engineers, subcontractors and office staff to obtain any outstanding information.

    * Ensure completed job records are accurate, complete and compliant.

    * Assist with document control, filing and record management.

    * Provide ad hoc administrative support across a range of operational and project-based activities.

    Person Specification

    Essential Skills & Experience

    * Strong organisational skills with excellent attention to detail.

    * Good IT skills, including Microsoft Excel, Outlook and Word.

    * Ability to prioritise workloads and work independently.

    * Excellent written and verbal communication skills.

    * Reliable, proactive and able to work accurately when handling large volumes of information.

    Desirable

    * Previous administration experience within Facilities Management, Construction, Maintenance or Property Services.

    * Experience using job management or CAFM systems.

    * Experience managing digital documents, photographs and electronic filing systems.
