Lettings Coordinator – Farringdon/Shoreditch – £30,000 to £35,000 Dependant on Experience
My client, a successful multi-branch Real Estate Agent are seeking a motivated and experienced property administrator to join one of their busy and vibrant office in Farringdon or Shoreditch.
This is an excellent opportunity for an organised and proactive administrator who thrives in a fast-paced environment. The successful candidate will have exceptional attention to detail, the ability to manage multiple priorities simultaneously, and a passion for delivering a high standard of administrative support.
You will play a key role in supporting the Lettings team with their tenancy administration, ensuring the smooth running of the office while supporting the team of other administrators.
Duties:
- Support the Lettings team with tenancy progression from offer agreed through to move-in.
- Receive success forms and complete Terms of Business, Land Registry and AML checks.
- Upload and maintain interim referencing reports on Reapit.
- Prepare and issue tenancy details.
- Arrange outstanding certificates and inventories.
- Forward completed references to the Lettings Manager for review and landlord approval.
- Generate draft Tenancy Agreements for management approval.
- Request and process signed agreements and move-in monies from tenants.
- Complete final compliance and certification checks prior to move-in.
- Execute tenancy agreements and distribute to all parties.
- Submit Success Forms and purchase invoices to Client Accounts.
- Issue inventories, update meter readings on RPS and raise works orders.
- Assist all branches with deposit returns and check-out bookings for Let Only and Rent Collect landlords.
- Welcome office visitors and assist with initial sales and lettings enquiries.
- Manage the main telephone line and central inbox.
- Maintain accurate records of key allocation and movements.
- Oversee office administration, including stationery, cleaning, recycling, alarms and general office management.
- Issue Terms of Business for signature and complete Client ID and AML checks.
- Monitor and renew compliance certification, including GSC, EPC, EICR and property licensing.
- Maintain accurate records, documentation and file notes within Reapit.
- Support property marketing, including canvassing, window cards, boards, photography and floorplans.
- Undertake any other administrative or operational duties as required by the Directors.
Experience required:
- Previous Lettings Administration or Tenancy Progression experience required
- Knowledge of property laws, regulations, and procedures
- Strong organisational skills with the ability to multitask and prioritise workload effectively.
- Excellent communication and interpersonal skills
- Strong attention to detail
- A proactive attitude and the ability to work both independently and as part of a team.
- Proficient skills in Microsoft Office Packages
Salary: £30,000 to £35,000 Depending on Experience
Hours: Monday to Friday 9am to 6pm
