The role
We are seeking a Contracts Administrator to join our Commercial team.
The Contracts Administrator will play a key role in administering, controlling and tracking customer assets and materials throughout the overhaul process. Working closely with Production, Logistics, Planning, Quality and customer representatives, you will ensure accurate stock control, maintain asset traceability and provide clear visibility of work in progress, helping to deliver projects safely, efficiently and on time.
This role is essential to maintaining effective control of customer assets within a safety-critical rail and rolling stock environment, supporting operational excellence and ensuring customer requirements are met.
Role responsibilities
Responsibilities include but are not limited to:
- Asset Control & Tracking – Manage and monitor customer assets throughout the overhaul process, maintaining accurate records of incoming, work-in-progress and completed wheelsets and bogies.
- Stock & Materials Management – Control customer materials held on site, maintain accurate stock records, coordinate the receipt and dispatch of assets, and ensure materials are stored correctly both on and off site.
- Compliance & Traceability – Verify customer assets against the agreed scope of works, maintain documentation and traceability requirements, and investigate discrepancies relating to asset movements or material deliveries.
- Operational Coordination – Track work in progress, monitor planned completion dates, identify potential delays and support production teams by ensuring assets and materials are available when required.
- Customer & Internal Communication – Provide accurate progress updates to customers and work collaboratively with Production, Logistics, Planning and Quality teams to support efficient operational delivery.
- Continuous Improvement – Support safe, efficient and customer-focused ways of working while maintaining high standards of accuracy, compliance and record keeping.
Who we’re looking for
We are looking for an organised and detail-oriented administrator with experience in stock control, logistics, materials administration or a similar operational support role, ideally gained within the rail, engineering or heavy maintenance sector.
You will have strong organisational skills with the ability to manage multiple priorities, maintain accurate records and work methodically in a fast-paced environment. You will be confident using Microsoft Excel and administrative systems and have a strong understanding of the importance of compliance, traceability and attention to detail.
Experience of asset tracking systems or ERP systems would be advantageous, along with knowledge of wheelset or bogie overhaul, railway components or engineering materials management. You will be a proactive team player with excellent communication skills, capable of building effective working relationships across departments and with customers.
