How our sorting works

The order in which job vacancies are displayed is determined by a composite score based on the following factors:

  • Keyword Relevance: How well your search terms match the vacancy details. We prioritize matches found in the job title, followed by job requirements, location names, and educational levels. Matches within general employer information or the organization's name carry a lower weight.
  • Commercial Prioritization (Premium Jobs): Vacancies paid for by employers ('Premium' or 'Sponsored') receive a ranking boost and will appear higher in the search results.
  • Recency (Date Relevance): Newer vacancies are prioritized. The relevance score of a vacancy is reduced by half once the posting is older than 30 days.
  • Proximity (Distance Relevance): Vacancies located closer to your search location are ranked higher. For vacancies located more than 30 km from the search center, the relevance score is halved.
The final ranking is established by multiplying all these individual factors to calculate the total relevance score.

    Job description

    About the Role

    We are seeking a highly organised and professional Occupational Health Administrator to join our Occupational Health and Wellbeing Team. This is a key administrative role, providing efficient support to Occupational Health Advisors, clinicians, university staff, and external stakeholders.

    The successful candidate will play a vital role in ensuring the smooth coordination of occupational health services, supporting employee wellbeing initiatives, and maintaining accurate and confidential records in line with GDPR and occupational health standards.
    Key Responsibilities

    Provide comprehensive administrative support to the Occupational Health team.
    Coordinate and schedule occupational health appointments, health surveillance activities, and wellbeing assessments.
    Manage referrals from managers and HR teams, ensuring timely processing and communication.
    Maintain confidential employee health records and databases accurately and securely.
    Prepare correspondence, reports, clinical documentation, and meeting notes as required.
    Act as the first point of contact for occupational health enquiries from staff, managers, and external providers.
    Liaise with HR, departmental administrators, and medical professionals to support case management processes.
    Monitor inboxes and respond to enquiries in a professional and timely manner.
    Process invoices, purchase orders, and other departmental administrative tasks.
    Ensure compliance with GDPR, data protection legislation, and university policies.
    Produce management information and reports relating to service activity and performance.

    Person Specification

    Previous experience in an administrative or coordination role.
    Excellent organisational skills with the ability to manage multiple priorities simultaneously.
    Strong attention to detail and accuracy.
    Experience maintaining confidential and sensitive information.
    Proficient in Microsoft Office applications, including Word, Excel, Outlook, and Teams.
    Excellent communication and interpersonal skills.
    Ability to work independently and as part of a wider team.
    Strong customer service skills and a professional approach.

    Desirable Requirements
    Previous experience in Occupational Health
    Knowledge of occupational health processes and terminology.
    Experience using case management or clinical database systems.
    Understanding of GDPR and information governance requirements.
    Experience supporting wellbeing or employee assistance initiatives.
